Summary:

The incumbent is responsible for ensuring the smooth running of the import, export and domestic operations of World Courier Shanghai. The purpose of this position is to coordinate internally with Customer Service team and overseas offices and externally with clients and agents over all Operations-related issues to ensure smooth and successful operations and sustainable improvement of our service level.

Responsibilities:

General

• Answer telephone calls as per World Courier standards.

• Enter complete data accurately into World Courier systems.

• Ensure all packaging and refrigerant is adequate for travel.

• Proactively resolve potential or actual problems with shipments.

• Keep local customers informed as to any delays in delivery of shipments.

• On time submission of report and assignments to Managers as requested.

• Work periodic weekends and holidays as roster.

Specific

• Enter accurate and complete data into World Courier’s proprietary system.

• Check notes from system regularly and response to inquiry to both overseas offices and other departments within the requested timeframe.

• Vigilantly monitor progress of shipments through World Courier’s proprietary system and being proactively resolve potential or actual problems with shipments.

• Liaise and closely follow up with customer service team in relation to progress of shipment.

• Ensure domestic/export/import paper trail is both complete and accurate.

• Ensure all packaging and refrigerant is adequate for travel.

• Ensure appropriate procedures (as per Standard Operating Procedures, Work Instruction, Memo) and regulatory (local and overseas) compliance matters are being followed in the processing of shipments.

• Cost saving thinking during daily operations with airlines/agents/others.

• Coordinate with vendor companies to ensure high quality service providing to internal and external customers.

• Keep and maintain clean and ordered environment of warehouse.

• Participation in warehouse activities such as labeling, pre-conditioning, packaging preparation, etc.

• Using cold chain knowledge to minimize risks of deviation for shipments during World Courier’s custody of shipments.

• Support Supervisor or Manager in other assigned duties and tasks.

Education:

• High School Diploma/GED or equivalent experience required.

• Associate's degree in logistics, supply chain, transportation, business administration, or a related field, or equivalent experience preferred.

Experience:

• 3+ years of experience in logistics operations, transportation coordination, shipment tracking, customer service operations, or a related field required.

• Certification in Certified Supply Chain Professional, Certified Logistics, Transportation and Distribution, Certified in Planning and Inventory Management, or equivalent certification preferred.

• Operations handling experience in this role.

• Thorough knowledge of domestic/import/export process and paper-trail.

• Experience/skill in air-shipments operations, both import and export.

• Good interpersonal & communication skills.

• Good verbal and written communication.

• Proficiency in PC skills.

• Good international & domestic geographic knowledge.

• Proficiency in Cold Chain & Dangerous Goods knowledge.
