Wasatch LabsPOSITION RESPONSIBILITIES
Front Desk & Facility Entrance
- Maintains a clean, organized, professional, and presentable front desk, reception, lobby, and conference room area.
- Greets and assists all visitors, customers, vendors, drivers, and other individuals entering the facility.
- Ensures visitors follow established sign-in, identification, escort, and visitor access procedures.
- Monitors the main entrance and ensures facility entry procedures are followed.
- Ensures employees use their assigned badges when entering the facility and follows established procedures for lost, damaged, or malfunctioning badges.
- Assists with employee badge management and communicates badge access issues to the appropriate department.
- Monitors entrances and helps prevent unauthorized entry, door propping, tailgating, or other improper access practices.
- Immediately communicates security, access, safety, or facility concerns to the
- appropriate supervisor or manager.
- Maintains a professional and welcoming appearance and provides professional customer service to all individuals contacting the facility.
Telephone & Communication
- Answers incoming calls and directs callers to the appropriate department or
- individual.
- Assists individuals contacting the facility by phone, email, or in person and ensures questions or requests are directed to the appropriate department.
- Receives and distributes general correspondence and communications as needed.
- Maintains professional and appropriate communication when dealing with
- employees, customers, vendors, drivers, and visitors.
- Deliveries, Packages & Shipments
- Directs incoming deliveries, packages, documents, and other materials to the
- appropriate department or individual.
- Coordinates outbound shipments requested by departments using FedEx, UPS, USPS, or other approved carriers.
- Prepares shipping documentation and assists with labeling, packaging, and
- shipment coordination as required.
- Helps maintain an organized area for outgoing packages and shipments.
Administrative Support
- Assists departments with general administrative and documentation needs,
- including scanning, filing, copying, shredding, and organizing documents.
- Assists with maintaining records and documentation as directed.
- Supports the organization of company documents and records in accordance with established procedures.
- Assists departments with basic administrative tasks and other projects as assigned.
- Customer Samples
- Collects and prepares product samples requested by customers or departments.
- Coordinates sample labeling, documentation, storage, and pickup as required.
- Ensures samples are handled and transferred according to established procedures
- Coordinates sample shipments and communicates pickup information to the
- appropriate personnel.
- Facility & Safety Support
- Maintains and replenishes first aid kits and other designated first aid supplies.
- Performs routine checks of first aid equipment and communicates missing, expired, damaged, or depleted supplies.
- Verifies that eyewash stations are accessible and that required equipment and supplies are available.
- Assists with maintaining the front office, conference rooms, and other designated common areas.
- Assists with facility-related needs and projects as directed.
- Supports facility readiness for customers, visitors, inspections, and audits.
- Compliance & Workplace Standards
- Maintains adherence to company policies, safety standards, GMP requirements, food safety practices, security procedures, and standard operating procedures.
- Maintains confidentiality of company, employee, customer, and operational
- information.
- Follows established procedures for visitors, contractors, deliveries, shipments, badges, and facility access.
- Maintains accurate and timely completion of required logs, records, and
- documentation.
- Reports safety, security, quality, facility, or operational concerns promptly.
- Maintains a professional work environment and demonstrates appropriate conduct when interacting with employees, customers, vendors, and visitors.
- Performs other duties and responsibilities as assigned by management.
SKILLS & EXPERIENCE
- Strong verbal and written communication skills.
- Ability to communicate professionally with employees, customers, vendors, visitors, and drivers.
- Ability to read and write legibly in English.
- Strong attention to detail and ability to follow established procedures.
- Strong organizational and time-management skills.
- Ability to prioritize multiple requests and responsibilities while maintaining front desk coverage.
- Basic computer skills and proficiency with Microsoft Office applications, including Outlook, Teams, Word, and Excel.
- Ability to learn and use company-specific systems and software.
- Ability to maintain accurate records and documentation.
- Ability to work independently while knowing when to escalate questions or concerns to management.
- Ability to maintain confidentiality and exercise appropriate judgment when handling company information.
- Ability to promote and maintain a safe, clean, organized, and professional work environment.
- Previous receptionist, administrative, customer service, manufacturing, warehouse, or facility experience preferred.
PHYSICAL REQUIREMENTS
- Regularly required to stand and move throughout designated work areas.
- Frequently required to sit, walk, reach with hands and arms, and use a computer.
- Occasionally required to climb, balance, stoop, kneel, crouch, or crawl.
- Ability to lift and carry loads up to 50 pounds when required.
- Ability to work in and around a manufacturing environment.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.
- Ability to wear required personal protective equipment when entering designated manufacturing or operational areas.
WORK SCHEDULE
- Must be able to maintain reliable attendance and punctuality.
- Must be available to work the assigned schedule.
- May be required to work occasional weekends, holidays, or adjusted schedules based on facility operations.
- Must maintain front desk coverage during assigned working hours unless properly relieved or otherwise directed by management.
