What We’re Looking For:

 

We are looking for a hands-on, self-driven HR professional with strong HR operations experience who is comfortable working independently and taking ownership. The ideal candidate will help build and improve HR Shared Services processes, drive standardization and efficiency, and partner with HR teams across multiple countries to deliver accurate, compliant, and high-quality support throughout the employee lifecycle.

Principal Responsibilities

Shared Services Setup & Ownership

· Play a key role in designing and establishing the HR Shared Services operating model from scratch, including scope definition, service catalog, SLAs, and governance.

· Independently manage end-to-end HR operations with minimal supervision while aligning with global HR process

· Define, document, and continuously improve standard operating procedures (SOPs) across regions.

3Support transition of HR activities from regional teams into Shared Services in a structured and controlled manner.

· Act as a subject matter expert for HR operational processes and shared services best practices.

 

Employee Lifecycle Management

· Manage end-to-end onboarding and offboarding processes across assigned regions.

· Prepare employment contracts, amendments, and HR documentation in line with local labor laws.

· Coordinate background checks, medical insurance enrollment, and government-related documentation (where applicable).

· Ensure smooth employee transitions including probation confirmations, internal transfers, and exit clearances.

 

HR Operations & Administration

· Maintain and update employee records in HRIS systems (UKG – UltiPro) with high accuracy.

· Process employee data changes including promotions, transfers, salary changes, and leave updates.

· Generate employment-related letters (salary certificates, NOCs, experience letters).

· Support payroll inputs, validations, and coordination with Finance and external payroll vendors.

· Ensure operational compliance with company policies and regional labor regulations.

 

HR Systems & Data Management

· Own data integrity and accuracy across all HR systems.

· Conduct regular audits and reconciliations to ensure compliance and data quality.

· Prepare HR reports and dashboards (headcount, attrition, leave, compliance metrics).

· Actively support HR systems optimization, automation, and process digitization initiatives.

 

Leave Management

· Administer end-to-end leave management processes across regions.

· Ensure accurate leave balances, approvals, and reporting in HR systems.

· Support employees and managers with leave policy interpretation and queries.

 

Employee & Stakeholder Support

· Serve as the first point of contact for employee HR queries across regions.

· Provide clear, timely guidance on HR policies, benefits, and processes.

· Partner closely with Talent Acquisition, Finance, IT, Legal, and regional HR teams to ensure seamless service delivery.

· Maintain defined SLAs, turnaround times, and service quality standards.

 

Compliance & Governance

· Ensure all HR documentation meets audit, statutory, and internal compliance requirements.

· Support internal and external audits related to HR operations.

· Maintain strict confidentiality of sensitive employee data.

· Ensure adherence to regional employment laws and global governance standards.

 

Process Improvement & Continuous Improvement

· Identify opportunities to streamline, automate, and improve HR operational processes.

· Drive consistency and standardization across regions through documentation and controls.

· Contribute actively to the evolution and maturity of the HR Shared Services model.

· Support change management initiatives related to HR process transformations.

Position Requirements

Qualifications & Experience

· Bachelor’s degree in Human Resources, Business Administration, or related field.

· 3–5 years of experience in HR Operations or HR Shared Services environment.

· Prior experience setting up or scaling shared services operations is strongly preferred.

· Experience supporting multi-country HR operations (MEA, APAC, Europe preferred).

· Strong hands-on experience with HRIS systems (UKG/UltiPro preferred).

· Working knowledge of payroll coordination and labor law compliance.
