About the position
We’re looking for an out-of-this-world Executive Assistant who can work their organizational magic to support our C-suite Executive leadership team at our corporate headquarters in St. Petersburg, Florida.
As an Executive Assistant, you’ll interact with all levels of our organization, provide top-of-the-line administrative support, schedule office meetings, arrange travel and correspondence, and organize all executive tasks. The Executive Assistant works both independently and collaboratively with the respective teams to support the goals of their department and Power Design. Position Responsibilities
- Assist executives with administrative and personal duties while prioritizing and facilitating communication within and across departments.
- Manage and coordinate executive calendars, including travel arrangements and departmental meetings and events.
- Coordinate and assist with special projects as needed, including research, documentation, reporting, presentations, and analysis.
- While working on projects, maintain a sense of ownership and involvement in the process to help manage and reach departmental goals.
- Attend meetings, keeping record of meeting minutes and following up with team members on assigned action items as needed.
Here's What We're Looking For
- 3-5 years of experience in an administrative, assistant, or office manager role required. Experience supporting executive-level staff members highly preferred.
- Associate’s or bachelor’s degree
- Must be detail-oriented, extremely organized, and able to multitask in a high-volume, fast-paced work environment with very strict, changing deadlines.
- Have excellent interpersonal and writing skills with the ability to communicate with all levels of management, with an exceptional level of customer service.
- Must be extremely professional and poised, exercising independent judgement and discretion while maintaining a high level of confidentiality.
- Must have excellent computer skills, including proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Flexibility to work outside of standard work hours as needed to support the needs of the business
