Practice Supervisor - Maine Dartmouth Family Practice

Job Summary:

The Practice Supervisor provides day-to-day administrative leadership for Maine Dartmouth Family Practice, ensuring effective staffing, efficient practice operations, high-quality service delivery, and a positive experience for patients and staff. This role supervises administrative staff, supports staff development, and helps ensure compliance with MaineGeneral Health policies, procedures, and standards.

Job Description:

• Determines, coordinates, and supervises daily staffing assignments and staffing levels to support efficient practice operations and required service levels.
• Provides direction, orientation, training, coaching, and mentoring to administrative staff to promote engagement, accountability, and professional development.
• Assists with performance evaluations, performance management, and disciplinary actions in accordance with MaineGeneral Health policies and procedures.
• Assesses the quality and effectiveness of services provided and identifies opportunities to improve workflows, patient experience, and operational efficiency.
• Facilitates staff development and training programs to support competency, service excellence, and continued professional growth.
• Ensures staff compliance with departmental and organizational policies, procedures, protocols, and applicable regulatory requirements.
• Monitors daily operations and adjusts staffing and workflows as needed to meet patient and practice needs.
• Performs staff responsibilities as needed to maintain appropriate service levels and ensure continuity of operations.
• Leads the handling and resolution of complex patient, staff, and operational issues and complaints, escalating matters appropriately when necessary.
• Collaborates with providers, clinical staff, leadership, and other departments to promote effective communication and coordinated practice operations.
• Supports a culture of teamwork, accountability, customer service, and continuous improvement.
• Participates in departmental and organizational initiatives, projects, and process improvement activities as assigned.
• Performs other duties as assigned.

Qualifications

Required:

• Previous experience in a healthcare, medical office, or administrative setting.
• Previous supervisory or leadership experience, or demonstrated experience providing direction and support to staff.
• Strong organizational, communication, problem-solving, and interpersonal skills.
• Ability to manage competing priorities in a fast-paced healthcare environment.

Preferred:

• Associate's or bachelor's degree in healthcare administration, business administration, or a related field.
• Experience working in a physician practice, ambulatory care, or similar healthcare environment.
• Experience with staff scheduling, performance management, patient service, and practice operations.
• Knowledge of healthcare policies, procedures, and regulatory requirements.

The salary range shown reflects the base salary for this position. Individual compensation is determined based on factors such as experience, qualifications, skills, and market considerations.
