The Operations Program Coordinator will be responsible for performing multiple administrative functions related to the assigned program. They will be responsible for a variety of administrative tasks supporting the department’s director and deputy director including calendar management, drafting correspondence, arranging domestic and international travel, and processing expenses. The Coordinator will support the full team by applying established processes and practices in order to improve effectiveness for the team. Tasks will include scheduling and coordinating logistics for team meetings, workshops, webinars, and trainings; updating databases; and purchasing, assembling, mailing and tracking of training materials through a mail service. They will also support staff during virtual trainings and in person trainings, depending on location. The Coordinator will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems, and they may communicate on behalf of their supervisor and the department’s leadership with internal and external sources, including staff, vendors, and businesses in order to coordinate arrangements, convey information, and ensure successful execution of program.

YOUR POSITION WITH TNC

The Operations Program Coordinator works for the Solomon Islands Program and provides, logistic, research, and project delivery support and other general assistance to conservation program staff working toward the achievement of protection and conservation goals. They will report to the Finance and Operations Manager.
 

ESSENTIAL FUNCTIONS

The Operations Program Coordinator will be responsible for supporting the implementation of conservation Programs for the Solomon Island Program. This will include providing support to advance the implementation of a diverse range of activities including awareness programs, trainings and meetings, events, and conservation and monitoring field activities. This may include administration, logistics, compliance of SOPs, partner communications, procurement and maintaining asset registers.  In addition, they may assist with collecting, assembling and analyzing various types of data, in the field or through document surveys. Work undertaken will be a combination of office-based setting and in the field. They will coordinate activities with multiple variables, set realistic deadlines and manage timelines. Although the position reports to the Finance & Operations Manager, they will be an integral member of the Solomon Island team, supporting a range of Program staff.

 

RESPONSIBILITIES & SCOPE

  • Supervises no staff but may oversee and direct work of program partners, volunteers or interns
  • Coordinates multiple tasks or projects in a timely manner and with attention to detail
  • Assists with program activity logistics and support (travel letters, meeting organization and logistics, purchasing goods for conservation activities)
  • Assists with tracking of contracts and sub-award grants, and coordinates with partners to help ensure the timely completion of high-quality contract and grant deliverables
  • Financial responsibility may include purchasing, contracting with vendors, and assisting with budget tracking
  • Travel occasionally, working long and flexible hours as needed
  • Will, at times, work in variable weather conditions, at remote locations, on difficult and hazardous terrain, and under physically demanding circumstances including travelling on small boats
  • Makes day to day decisions as delegated by the supervisor
  • Supports multiple Solomon Island Program staff activities

What You’ll Bring:

  • Bachelor’s degree and 1 years related work experience or equivalent combination of education and experience

  • Experience with Microsoft Office suite, including Outlook, Word and Excel  

  • Experience in business writing, editing, and proofreading

  • Experience handling standard business communications

  • Multi-lingual (particularly English and Solomon Islands Pijin) 

  • Strong administrative skills including attention to detail and numerical ability

  • Ability to complete tasks independently within assigned time frames

  • Experience working and communicating with a wide range of people

Desired Qualifications:

  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems;
  • Ability to apply research skills;
  • Ability to write and edit written materials for use with program communications and special events;
  • Database skills, including managing and tracking data, and producing reports;
  • Excellent customer service skills and focus;
  • Experience, coursework, or other training in relevant field; and/or
  • Strong organizational skills and attention to detail
