Job Description

OBJECTIVES / PURPOSE

·       Lead and coordinate event management operations for the Malaysia LOC, including defined priority events and business initiatives, ensuring activities are planned, executed, and documented in accordance with Takeda policies, SOPs, and compliance standards.

·       Provide operational support for defined business processes, including TOMEs, Product Detailing and TPRM, by guiding stakeholders on process requirements and consistent ways of working.

·       Coordinate event-related resources and workload throughout the year to meet business demand, manage seasonal peaks, and enable effective field-team engagements.

·       Identify opportunities to simplify, standardize, improve events and business processes through data, digital tools, and the responsible use of AI

SCOPE

·       Leadership / People: Individual contributor role with matrix coordination responsibilities; no direct people-management accountability unless assigned separately.

·       Country / territory: Malaysia LOC.

·       Functional scope: Event management operations and selected business processes, including TOMEs, Product Detailing, TPRM and related SOP-driven activities.

·       Stakeholder scope: Works with Commercial, Medical, Access, Compliance, Finance, Procurement, and other LOC stakeholders to clarify roles, responsibilities, and process execution.

ACCOUNTABILITIES

·       Partner with cross-functional stakeholders to forecast event volume, timing, and operational requirements across the fiscal year.

·       Coordinate event planning and execution support so field teams can focus on customer engagement while required documentation, approvals and compliance checkpoints are managed effectively.

·       Lead the operational coordination and delivery of defined priority event initiatives, including vaccination campaigns delivered in collaboration with healthcare establishments and institutions.

·       Provide operational guidance for selected LOC business processes, including TPRM and other assigned SOP-driven processes.

·       Ensure event and business-process activities comply with applicable laws, industry codes, Takeda policies, SOPs, and documentation requirements.

·       Establish and maintain clear end-to-end processes, roles and responsibilities between the events function and relevant LOC teams.

·       Monitor workload, service needs, and seasonality, and recommend appropriate resource deployment within the agreed operating model.

·       Serve as a subject-matter resource for event management and assigned business processes, helping stakeholders understand requirements and adopt consistent ways of working.

·       Use event and process data and operational metrics to monitor delivery against agreed objectives and milestones, establish performance baselines, identify bottlenecks, and drive measurable improvements in productivity, efficiency, and stakeholder experience.

·       Drive continuous improvement by simplifying process steps, standardizing requirements, and leveraging digital tools and appropriate AI-enabled solutions where relevant.

CORE ELEMENTS RELATED TO THIS ROLE

·       Orchestrates event and business-process execution through matrix collaboration with local cross-functional teams, particularly Commercial and Consumer Activation.

·       Focuses on compliant, efficient, and consistent ways of working rather than owning brand strategy or content creation.

DIMENSIONS AND ASPECTS:

·       Strong practical knowledge of pharmaceutical or healthcare event management, local business processes, SOP requirements, compliance checkpoints, vendor coordination, budget tracking, and operational metrics. Applies digital tools and data to improve process efficiency and execution quality.

·       Provides coordination leadership within the role's scope by aligning stakeholders, clarifying process expectations, and enabling timely delivery of compliant events and business-process activities. Acts as a role model for Takeda's six culture pillars: Patient-Centric, People-Minded, Respectful & Collaborative, Decision Effectiveness, Performance Culture and Enterprise Orientation.

·       Decision-making and Autonomy (The capacity and authority to make organizational decision-making, complexity of decisions, impact of decisions, problem-solving)

·       Operates with autonomy within defined event-management and business-process responsibilities. Recommends approaches to process execution, resource deployment, risk mitigation, and continuous improvement, while escalating higher-risk compliance, budget, policy, or business decisions to the appropriate decision owner.

·       Interaction (The span and nature of one's engagement with others when performing one's job, internal and external relationships)

·       Works closely with internal stakeholders across Commercial, Medical, Access, Compliance, Finance, Procurement, and other LOC teams, as well as relevant external vendors and partners, to coordinate requirements, timelines, documentation, and issue resolution.

·       Innovation (The required level of scientific knowledge, knowledge sharing, innovation, and risk taking)

·       Promotes practical innovation by identifying opportunities to simplify workflows, improve handoffs, reduce duplication, and apply digital or AI-enabled tools where they enhance compliance, efficiency, and stakeholder experience.

·       Performance Culture (Ambitious goals, accountability, speed, and delivery of measurable results)

·       Sets clear objectives for the role’s scope, monitors delivery against agreed service levels and process metrics, and drives measurable improvements in event execution, process efficiency, and stakeholder satisfaction.

·       Enterprise Orientation (Cross-functional and cross-geography collaboration, sharing best practice, enterprise-first mind-set)

·       Collaborates across local functions and, where relevant, with regional or enterprise stakeholders to share best practices, align with common standards and support enterprise-wide consistency while meeting Malaysia LOC needs.

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS

·       Relevant degree in business, life sciences, healthcare administration, or a related field; an advanced qualification is an advantage.

·       Relevant experience in pharmaceutical or healthcare event management, business-process coordination, or commercial or medical operations support.

·       Working knowledge of compliance requirements, SOP-driven processes, vendor coordination, budget tracking, and documentation standards.

·       Strong stakeholder-management, planning, prioritization, problem-solving, and communication skills.

·       Demonstrates Takeda's six culture pillars: Patient-Centric, People-Minded, Respectful & Collaborative, Decision Effectiveness, Performance Culture and Enterprise Orientation.
