Description
Position Purpose:
Working closely with the sales team, the position ensures seamless customer experience while upholding company standards and compliance requirements.
Key Responsibilities:
- Prepare accurate and timely quotations as per customer requests or for budgeting needs.
- Obtain pricing, lead times and product information directly from vendors when required.
- Coordinate with Purchasing to secure competitive pricing and confirm product availability.
- Communicate with Purchasing regarding special orders, large volume orders, or unique material requirements to ensure accurate costing and help Purchasing with the supply demand planning.
- Coordinate with vendors and purchasing to arrange direct to site deliveries when required.
- Maintain regular communication with contractor customers and sales representatives throughout the quotation process.
- Respond to customers change requests and provide revisions and support with the sales reps.
- Confirm margins and profitability objectives with manager prior to sending out quotes.
- Review and confirm accuracy prior to sending out quotes. (Assumptions, exclusions, special project requirements, potential increase dates or time limit for the quoted items).
- Coordinate with Order Desk team regarding special handling, scheduling, staging, or delivery requirement to ensure successful execution without delivery issues.
- Communicate any special delivery requests and project requirements to Shipping/Logistics to ensure accuracy in the delivery execution.
- Help to support inventory planning by providing demand forecasts and project requirements for up coming work.
- Attend and assist with all inventory counts when scheduled.
- Monitor projected timelines and material lead times to help identify potential supply challenges.
- Help research and recommend alternative products when specified materials are unavailable or have extended lead times.
- Maintain accurate quote records and customer/project information in files or company system.
- Work closely with Sales to help with all project opportunities, maximizing quote to order conversion rates.
- Work toward continuous improvement initiatives to enhance accuracy, efficiency, and customer service.
- Participate in continuous improvement initiatives as presented through company compliance expectations.
- Ensure all company safety, operational and quality procedures are followed as directed in company communications.
Skills & Qualifications:
- Post-Secondary Degree in Business preferred.
- Minimum 2–3 years of experience in a sales support or coordination role within the building supplies or construction industry.
- Excellent verbal and written skills, with a focus on customer service.
- Ability to build and maintain long-term client relationships
- Exceptional accuracy, attention to detail, time management, and organizational skills.
- Strong problem-solving skills, with the ability to resolve customer issues and handle logistical challenges efficiently.
