Role Description:
Working as part of the Vancouver Operational Excellence Team, the Operations Coordinator will report directly to the General Manager. The successful incumbent will be responsible for providing support to Property Teams and Capital Projects teams.
Responsibilities:
- Provide support for landlord’s work, tenant improvement work and capital projects within the downtown Vancouver Office Portfolio.
- Administrative functions relating to providing support to the General Manager, Director and Vice President, Office Vancouver where required;
- Assist with the development of appropriate operating procedures and ensuring legislative or regulatory requirements are adhered to;
- Work with development, capital projects and operations team to professionally draft communications and assist with the coordination of activities with respect to scheduled maintenance, site visits, daily correspondence, other notices as required;
- Read and understand leases to understand landlord’s work commitments, tenant commitments and timelines.
- Provide support to Property teams with the creation of POs, coding invoices, tracking AR and monthly parking revenue.
- Ensure monthly updates on status of projects is delivered to property team, GM, Director and VP, Office
- Assist with environmental assessments and reporting;
- Assist with the scheduling of loading dock and elevator bookings during construction of tenant improvements;
- Prepare CEARS and circulate for signatures.
- Ensure projects are properly recorded in Construction Manager and forecasts are kept up to date.
- Track service contracts and assist Procurement with RFPs.
- Update quarterly presentations and ensure all property teams have updated accurate and consistent information.
- Embrace and pro-actively support the QuadReal culture of environmental sustainability, and corporate and social responsibility;
- Perform other duties as assigned from time to time based on needs, training, knowledge, and capabilities
Experience and Qualifications:
- Relationship Skills - Superior oral and written communication and presentation skills; ability to develop and sustain cooperative working relationships, ability to exercise confidentiality. Professional phone manner, customer service oriented.
- Organizational/Multi-Task Skills - A highly organized individual who has an eye for detail and accuracy. Ability to allocate one's time effectively, work under pressure and manage tight deadlines.
- Computer Skills - Advanced skills in Microsoft Office programs and Yardi Accounting System, MS Powerpoint, and AI programs.
- Education – Post Secondary Education with a focus in Urban Land or similar real estate focus.
- Experience - 1+ years of administrative experience with general accounting knowledge. Industry knowledge or previous internships in the industry is an asset.
The expected annualized base salary range for this role is $60,000 – $65,000.
