Description
Reports To: Chief Executive Officer
Location: Dreamer Wellness Center, Mequon, WI
Schedule: Primarily weekdays, with some evenings and weekends based on scheduled programming.
- Work with the CEO and other team members to develop new programs and strengthen existing offerings.
- Help translate program ideas into clear agendas, participant experiences, timelines and repeatable formats.
- Coordinate the planning and execution of workplace wellness programs, retreats, special events, community programs and private group experiences.
- Create detailed program plans, schedules, checklists, and supporting materials.
- Ensure that programs remain aligned with Dreamer Wellness Center’s mission, values, and brand.
- Identify opportunities to expand, improve, or adapt programming based on participant feedback, community needs, and business opportunities.
- Help document program processes so successful offerings can be consistently repeated and expanded.
- Serve as the primary on-site lead for assigned programs and events.
- Recruit, secure, and supervise interns to assist in marketing and workshop programs.
- Take responsibility for the overall organization, flow, and success of each experience.
- Welcome participants and clearly communicate schedules, expectations, and logistical information.
- Coordinate program spaces, supplies, refreshments, materials, facilitators, and activity transitions.
- Ensure that everyone involved understands their responsibilities before a program begins.
- Monitor the participant experience throughout each program and address questions or concerns promptly.
- Anticipate potential problems and make calm, thoughtful decisions when schedules, weather, animals, or participant needs require adjustments.
- Support a safe and professionally managed environment.
- Manage program registrations from initial inquiry through final follow-up.
- Respond promptly and professionally to participant questions.
- Provide clear confirmation, preparation, and reminder communications.
- Maintain accurate participant lists, contact information, attendance records and relevant program details.
- Communicate weather changes, schedule updates, cancellation information, and other time-sensitive details.
- Ensure that participants understand what to expect, what to bring, and how to prepare.
- Gather participant feedback and identify opportunities to improve future experiences.
- Build systems that make registration and communication efficient, consistent, and customer friendly.
- Serve as a primary point of contact for workplace wellness and corporate clients.
- Respond to inquiries and help prospective clients understand Dreamer Wellness Center’s offerings.
- Learn about each organization’s goals, challenges, and desired outcomes.
- Help recommend appropriate program formats in consultation with the CEO.
- Coordinate dates, schedules, group information, program details, and participant communication.
- Maintain organized records of client conversations, commitments, and follow-up needs.
- Build professional, responsive and trusted relationships with organizational leaders and client contacts.
- Identify opportunities for repeat programs, expanded engagements and long-term partnerships.
- Represent Dreamer Wellness Center professionally in meetings, tours, community events, and client conversations.
- Help develop and implement promotional plans for upcoming programs.
- Coordinate program descriptions, event listings, email communications and promotional materials.
- Contribute to Dreamer Wellness Center’s social media presence.
- Assist in the creation of social media content related to programs, events, participant experiences, and the Dreamer Wellness Center environment.
- Work collaboratively with others supporting marketing rather than serving as the sole person responsible for all organizational marketing.
- Ensure that program information is accurate and consistent across the website, registration platforms, social media, and other promotional channels.
- Identify community calendars, organizations, and partnerships that could help increase awareness and participation.
- Monitor registration activity and adjust promotional efforts when additional outreach is needed.
- Experience in program management, event management, hospitality, retreat programming, community engagement, corporate wellness, recreation, nonprofit programming or a related field.
- Demonstrated ability to independently organize and lead programs, events, or complex projects.
- Exceptional organizational skills and careful attention to detail.
- Excellent written, verbal and interpersonal communication skills.
- Ability to manage multiple programs, deadlines, and priorities simultaneously.
- Ability to work independently, exercise sound judgment, and take initiative.
- Experience creating or supporting social media and digital marketing content.
- Comfort using registration systems, email platforms, spreadsheets, shared calendars, social media platforms, and other common business technology.
- An appreciation for the role that nature, animals, connection and restorative experiences can play in supporting mental and emotional well-being.
- Willingness and availability to work occasional evenings and weekends based on the program schedule.
- Experience working in a nature-based, animal-based, wellness, retreat or experiential-learning environment.
- Familiarity with horses or other animals.
- Experience with social media content creation, photography or short-form video.
- Experience developing new programs or turning concepts into repeatable offerings.
- Knowledge of the greater Milwaukee-area business or nonprofit community.
- Exceptionally organized and dependable.
