Manager, Groups & Events Services
Luxury Resort | Bozeman, Montana (occasional travel to the resort property required)
Compensation
- Base Salary: $80,000 – $85,000 / year
- Housing Allowance: $1,000 / month
- Relocation Assistance: $3,000
Role Overview
Owns the full lifecycle of contracted group business — meetings, incentive programs, executive retreats, luxury weddings, and special events — from formal turnover by Sales through departure and post-event reconciliation. Serves as the primary client point of contact throughout planning and on-site execution, partnering closely with resort leadership to deliver flawless, five-star events.
Key Deliverables
- Client planning ownership — manage all logistics for meetings, incentives, retreats, weddings, and buyouts from turnover through departure
- Documentation & systems — prepare and maintain Group Resumes, BEOs, and event specifications; keep Delphi and Opera Cloud current throughout planning
- On-site execution — serve as lead on-site contact, run client touchpoints, coordinate VIP arrivals and group movements, resolve issues in real time
- Meeting leadership — lead Resume/BEO meetings, pre-convention meetings, and group arrival meetings
- Cross-functional coordination — align rooming lists, VIPs, transportation, billing, AV, décor, and vendor access with operational departments
- Room block management — monitor pickup, cut-off dates, and attrition; flag changes to Sales, Revenue Management, and Reservations
- Financial reconciliation — manage deposits, billing instructions, master account accuracy, and final post-event billing
- Forecasting & reporting — maintain accurate Delphi forecasts and prepare group/banquet revenue reports
- Sales handoff — participate in turnover meetings and provide operational feedback to support future bookings
Required Qualifications
- 3–5 years in Conference Services, Event Management, or Luxury Resort Operations
- Bachelor's degree in Hospitality Management, Business Administration, or related field preferred
- Prior experience in a Forbes Five-Star or luxury hospitality environment preferred
- Proven track record servicing corporate meetings, incentive travel, executive retreats, luxury weddings, and social events
- Strong working knowledge of Delphi, Opera Cloud, and Microsoft Office Suite
- Financial acumen — budgeting, forecasting, and billing reconciliation
- Excellent written, verbal, and interpersonal communication skills
- Strong organizational and project management skills with exceptional attention to detail
- Ability to work flexible hours, including evenings, weekends, and holidays
