Job Summary
The IT Systems Coordinator serves as an internal resource within the Information Technology department. This role works closely with the Director of IT, RapidFire’s MSP, branch personnel, and vendors to ensure reliable, secure, and efficient technology services.
This position coordinates and manages day-to-day IT operations, user onboarding and offboarding, asset lifecycle management, software subscription tracking, vendor/MSP follow-through, and process improvement documentation, while providing hands-on support where needed.
The ideal candidate is highly organized, technically capable, customer-service focused, and comfortable coordinating work across internal users, branch teams, vendors, and managed service providers in a fast-growing, multi-location environment.
Responsibilities
IT Platform Support
• Maintain and support network equipment and user devices using remote management tools.
• Administer VoIP phone system to ensure a positive customer experience.
• Assist with administering Microsoft 365, Entra ID, Azure and other SaaS applications.
Asset Lifecycle Management
• Maintain accurate inventory and lifecycle records for all company IT assets.
• Coordinate procurement, deployment and repairs for company IT assets.
Software & Subscriptions Management
• Maintain accurate inventory of software and internet service providers, including subscriptions and licenses.
• Administer software change requests, renewals and account consolidations.
IT Operations & Support Delivery
• Coordinate daily IT operations across offices, users, vendors, service providers, and the Director of IT.
• Create and monitor managed service provider tickets to ensure completion, escalating concerns, risks, or repeat incidents to the Director of IT.
• Coordinate with Branch IT Liaisons for hands-on efforts, with onsite travel as required.
User Onboarding & Offboarding
• Coordinate IT onboarding and offboarding processes to ensure completeness and alignment with Human Resources.
Documentation & Process Improvement
• Document and improve repeatable processes to increase consistency and effectiveness.
• Assist with the development of SOPs, knowledge base articles, system diagrams, and process checklists.
Other Responsibilities
• Perform other duties as assigned by the Director of IT.
Knowledge, Skill & Other Requirements
Preferred Qualifications
• 2+ years of experience in IT operations, systems administration, technical support, or a related role.
• Experience supporting RingCentral, Meraki, Microsoft 365, Entra ID, Azure, endpoint management, or similar business technology platforms.
• Experience managing hardware and software inventory, onboarding and offboarding workflows, and process improvements.
• Experience coordinating and managing vendors, contractors and service providers.
• Associate or Bachelor’s degree in Information Technology or related field; equivalent experience considered.
• Certifications such as CompTIA A+/Network+/Security+, Cisco CMSS/CCST/CCNA, Microsoft 365 Fundamentals/Endpoint Administrator, CSAM/CAMP or similar credentials are a plus.

• User support requests, MSP tickets, and escalations are coordinated and resolved in a timely manner.

• Onboarding, offboarding, access, and licensing administration are completed accurately, on time, and in alignment with HR and business needs.
• Documentation, SOPs, knowledge base articles, and checklists are maintained and improved to support consistent, repeatable IT operations.
