Description
Our client, a leading name in the interior design and furniture industry, is currently seeking to recruit a Personal Assistant to the Directors, to provide high-level executive and administrative support within a dynamic environment.
This role is being offered on full-time basis however candidates seeking reduced hours will also be considered.
Key Responsibilities:
- Managing and coordinating the Directors’ calendars, appointments and meetings.
- Preparing agendas, reports, presentations, and briefing documents.
- Taking accurate minutes and following up on action points and management decisions.
- Arranging travel, accommodation and itineraries as required.
- Acting as the first point of contact for internal and external stakeholders.
- Drafting professional correspondence on behalf of the Directors.
- Maintaining confidential information with the highest level of discretion.
- Organising board meetings, management meetings and events.
- Maintaining both digital and physical filing systems.
- Tracking deadlines and ensuring timely completion of tasks.
- Assisting with special projects and strategic initiatives.
Ideal Candidate Profile:
- Previous experience as a Personal Assistant or Executive Assistant.
- Experience in HR administration and/or property/facilities coordination is highly desirable.
- A diploma or qualification in Business Administration, HR or a related field is preferred.
- Proficiency in Microsoft Office and HR systems.
- Strong written and verbal communication skills in both Maltese and English.
- Excellent organisational and time-management skills.
- Good problem-solving skills.
