| WHO WE ARE LOOKING FOR

The Facilities Manager supports the Head of Facilities in the day-to-day operations, maintenance, and project execution across the company's corporate and satellite office portfolio. This role serves as the operational backbone of the facilities function — managing vendor relationships, coordinating maintenance activities, supporting office buildouts, and ensuring each location runs safely, efficiently, and to company standards. The Facilities Manager is a hands-on problem solver who can balance routine operational demands with project coordination across multiple sites in Troy, MI; Chicago, IL; Phoenix, AZ; Louisville, KY; and Los Angeles, CA, as well as future sales office locations.

| WHAT YOU GET TO DO

  • Manage the daily operational needs of all corporate and satellite office facilities, serving as the primary point of escalation for facilities issues across all locations.
  • Coordinate and oversee scheduled and reactive maintenance for building systems including HVAC, electrical, plumbing, lighting, fire/life safety, and access control.
  • Implement and maintain a preventive maintenance program, tracking work orders and service history through the facilities management system.
  • Conduct periodic walkthroughs and site inspections to assess facility conditions and identify maintenance, safety, or aesthetic issues requiring attention.
  • Serve as the on-site liaison with landlords and property management teams at leased locations, coordinating building services and escalating issues as appropriate.

Vendor & Contractor Coordination

  • Solicit bids, schedule, and supervise facilities service vendors including janitorial, landscaping, pest control, waste management, security, and general maintenance contractors.
  • Monitor vendor performance against service-level agreements and escalate deficiencies to the Director of Facilities.
  • Process purchase orders, invoices, and work authorizations in coordination with Finance, ensuring proper documentation and budget coding.

Project Support

  • Support the Director of Facilities in the planning and execution of office renovations, tenant improvements, and new sales office buildouts.
  • Coordinate scheduling, access, and logistics for contractors and vendors during construction or improvement projects to minimize disruption to business operations.
  • Track project milestones, document issues, and communicate status updates to the Director and relevant internal stakeholders.

Health, Safety & Compliance

  • Ensure all facilities maintain compliance with OSHA, ADA, fire codes, and applicable local and state regulations.
  • Maintain up-to-date records of inspections, permits, certificates of occupancy, and safety-related documentation for all locations.
  • Conduct and coordinate regular safety drills, emergency preparedness activities, and workplace safety training in partnership with HR.
  • Serve as a point of contact for facilities-related emergency situations, coordinating response and communicating with appropriate parties.

Space Management & Employee Experience

  • Coordinate office moves, furniture reconfigurations, and workstation assignments in response to headcount and organizational changes.
  • Manage relationships with office supply, furniture, and equipment vendors to support employee workspace needs.
  • Respond promptly to employee facilities requests, ensuring a high standard of workplace experience across all locations.
  • Support space utilization tracking and reporting to inform planning decisions.

Budget & Administrative Support

  • Assist the Director of Facilities in tracking facilities operating expenditures, flagging budget variances, and identifying cost-saving opportunities.
  • Maintain facilities records including lease abstracts, vendor contracts, warranties, equipment inventories, and maintenance logs.
  • Support the annual budget process by gathering operational data, vendor quotes, and cost histories
  • Lead facilities planning for future satellite and sales office openings, including site selection support, space programming, lease review coordination, and project delivery.
  • Develop and maintain a multi-year capital improvement and portfolio roadmap aligned with business growth plans.
  • Partner with HR, Finance, and department heads to plan for headcount growth, space utilization changes, and consolidation opportunities.

| WHAT YOU BRING TO THE TEAM

Education and Experience

  • Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field; equivalent professional experience considered with a minimum of (5) five years of related experience.

Additional Requirements

  • Working knowledge of building systems, preventive maintenance programs, and facilities compliance requirements.
  • Experience managing service vendors and contractors, including bid solicitation and performance oversight.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously across geographically dispersed locations.
  • Proficiency with facilities management or CMMS software, and standard office productivity tools (Microsoft Office/365).
  • Clear and professional communication skills — written and verbal — with the ability to interface effectively with employees, vendors, and senior leadership.

Preferred Qualifications

  • FMP (Facility Management Professional) designation through IFMA, or active pursuit of same.
  • Experience in the automotive, manufacturing, or industrial sector.
  • Familiarity with tenant improvement and construction project coordination.
  • Experience supporting new office openings or portfolio expansion.
  • LEED accreditation or experience managing green/sustainable facilities programs.

Working Conditions

  • This position is based at corporate headquarters in Troy, MI with regular travel (estimated 20–30%) to satellite office locations.
  • Some after-hours and weekend availability may be required to support facility emergencies, project milestones, or critical maintenance activities across time zones.

Applicants must be authorized to work in the United States on a permanent basis. We are unable to offer visa sponsorship at this time.
