This is a 100% in-office position in our Salt Lake City headquarters. If you enjoy working alongside a professional team, building strong working relationships, and being directly involved in the day-to-day business, this role may be an excellent fit.
What You’ll Do
You will provide high-level administrative support to the Vice President & General Counsel, while also supporting the legal department, safety department, and executive team. You will work with teams throughout the organization and occasionally with outside contacts.
The legal department handles contracts, litigation, employment matters, corporate records, board meetings and materials, compliance matters, and other business needs. Your ability to organize information, anticipate needs, follow through on details, and manage competing priorities will be essential.
Key responsibilities include:
- Provide administrative support to the legal department by organizing files, assisting with document preservation, tracking key matters and initiatives, and ensuring deadlines, follow-up items, and supporting materials are not missed.
- Prepare, proofread, format, and organize contracts, reports, correspondence, presentations, and other business documents.
- Manage calendars, meetings, deadlines, reminders, and follow-up items across multiple matters.
- Maintain legal, corporate, safety, and compliance records with accuracy and confidentiality.
- Draft and edit professional emails, summaries, internal communications, and other correspondence.
- Assist the General Counsel with legal research and special projects.
- Coordinate with internal departments and outside contacts to gather information, answer open questions, coordinate next steps, and keep projects moving.
- Support board meetings, corporate records, executive initiatives, and other projects as needed.
- Help bring consistency, organization, and accountability to a fast-moving legal and business workload.
Requirements
Required Qualifications:
- At least 2 years of experience in a legal assistant, executive assistant, or similar high-level administrative support role; legal office experience is strongly preferred.
- Strong Microsoft Office skills, particularly Word, Outlook, Excel, PowerPoint, and Copilot.
- Excellent written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- Demonstrated ability to manage multiple priorities, deadlines, documents, and requests while maintaining accuracy.
- Strong follow-through and the ability to independently track open items through completion.
- Professional judgment and the ability to handle confidential and sensitive information appropriately.
- A dependable, proactive approach and the ability to work effectively with executives, legal professionals, internal teams, and outside contacts.
Preferred Qualifications:
- Experience working with contracts, litigation, corporate records, employment matters, or compliance documentation.
- Familiarity with legal research tools such as Westlaw, Co-Counsel, Practical Law Connect, or AI-powered legal tools.
- Bachelor’s degree preferred.
