Derm & Rejuvenation Institute is seeking a promising candidate for our Patient Enrollment & Scheduling Specialist position.

This is an entry-level position for someone who wants to enter the healthcare field but may not have previous medical training. The selected candidate will receive extensive, practice-specific training in patient communication, treatment coordination, medical-office procedures, ethical consultative sales, scheduling, payment collection, membership enrollment, and patient follow-up.

The ideal candidate is energetic, polished, coachable, detail-oriented, and eager to grow. You should be comfortable speaking with patients, discussing treatment fees, asking for scheduling decisions, following up consistently, and working toward clearly defined performance goals.

Previous healthcare experience is helpful but not required.

What Is a Patient Enrollment Specialist?
A Patient Enrollment Specialist helps patients move from interest and consultation to a clearly organized treatment plan.

The physician determines which medical, surgical, or cosmetic treatments are clinically appropriate. The Patient Enrollment Specialist then helps the patient understand the practical aspects of that plan, including:
  • What the treatment journey involves.
  • How appointments and procedures are scheduled.
  • What the treatment will cost.
  • Which deposits or payments are required.
  • Whether an appropriate membership or treatment program is available.
  • What preparation and follow-up steps are required.
  • What the patient should do next.

This is not a clinical position. Patient Enrollment Specialists do not diagnose patients, select treatments, provide medical advice, or promise results.

It is also not an aggressive or high-pressure sales role. Successful enrollment begins with listening, education, transparency, trust, and dependable follow-up.

What You Will Learn:
During your initial training, you will learn how to:
  • Communicate professionally with medical, surgical, and cosmetic patients.
  • Understand the basic terminology associated with our services.
  • Explain physician-recommended treatment logistics using approved information.
  • Prepare and present accurate treatment quotes.
  • Discuss pricing, deposits, payment policies, and financing options.
  • Educate appropriate patients about memberships and ongoing treatment programs.
  • Guide patients through scheduling and payment decisions.
  • Follow up with prospective patients in a warm and effective manner.
  • Track patient interest, pending decisions, deposits, and scheduled treatments.
  • Communicate appropriately by telephone, email, text, and in person.
  • Recognize when a question must be referred to a physician or clinical team member.
  • Protect patient privacy and confidential medical and financial information.
  • Use scheduling, payment, patient-management, and electronic health record systems.
  • Work toward measurable enrollment, scheduling, collection, and service goals.

Your Responsibilities:
As your initial training progresses, your responsibilities will include:

Patient Education and Enrollment
  • Welcome patients and build a comfortable, professional relationship.
  • Guide patients through the treatment journey established by their physician.
  • Explain treatment logistics, scheduling requirements, preparation, expected downtime, pricing, and general next steps using practice-approved information.
  • Reinforce physician recommendations without independently recommending treatments.
  • Prepare accurate treatment quotes and review them clearly with patients.
  • Explain deposits, payment deadlines, financial policies, and available payment options.
  • Educate appropriate patients about practice memberships and ongoing care programs.
  • Clearly explain membership benefits, fees, limitations, and cancellation terms.
  • Ask patients whether they are ready to schedule and help them complete the next appropriate step.
  • Respect each patient’s right to make an informed decision without pressure.

Follow-Up and Relationship Management:
  • Follow up with patients who are considering treatment.
  • Answer nonclinical questions and refer clinical questions to the appropriate team member.
  • Address practical concerns that may be preventing a patient from moving forward.
  • Maintain thoughtful communication with patients who need additional time to decide.
  • Reconnect with patients who have postponed treatment when appropriate.
  • Ensure prospective patients and important follow-up tasks do not fall through the cracks.
  • Document patient communication, questions, concerns, quotes, and next steps accurately.

Scheduling and Payment Coordination:
  • Schedule medical, surgical, injectable, laser, body-contouring, and cosmetic procedures.
  • Collect required deposits and payments according to practice policies.
  • Confirm that consents, photographs, medical clearances, payments, and required documentation are completed on time.
  • Coordinate with physicians, surgery centers, hospitals, anesthesia providers, and other members of the care team.
  • Communicate preprocedure and post-treatment instructions provided by the clinical team.
  • Maintain accurate procedure calendars, patient records, quotes, and payment information.

Practice Growth and Performance:
  • Work toward defined goals for patient follow-up, treatment enrollment, scheduling, membership participation, and payment collection.
  • Track leads, consultations, pending treatment plans, deposits, and scheduled procedures.
  • Participate in structured coaching, role-playing, initial training, and performance reviews.
  • Learn from feedback and demonstrate continued improvement.
  • Identify opportunities to improve the patient experience and reduce barriers to scheduling.
  • Contribute to a positive, organized, accountable, and supportive office culture.

A college degree, medical certification, or previous surgery-scheduling experience is not required unless otherwise stated in the final posting. Your communication ability, judgment, integrity, organization, learning potential, and work ethic will be important considerations.

  • Professional fluency in spoken and written English.

Preferred but Not Required:
  • Experience in sales, hospitality, luxury retail, wellness, fitness, customer service, or patient coordination.
  • Experience working with sales goals, lead pipelines, membership programs, or customer relationship management software.
  • Experience in dermatology, ENT, plastic surgery, cosmetic medicine, or another healthcare environment.
  • Familiarity with medical terminology.
  • Experience collecting payments or explaining financial policies.
