As a Patient Access Representative, you'll help create a positive first impression by welcoming patients, supporting them throughout their visit, and helping them access the care they need with professionalism and compassion.


Starting Pay: $18.39 per hour (paid biweekly)


Schedule: Full-time, 37.5 hours per week. Hours are generally scheduled during our health center business hours (Monday–Thursday, 7:00 a.m.–6:00 p.m., and Friday, 7:00 a.m.–5:00 p.m.).


Position Summary

The Patient Access Representative serves as the first point of contact for patients who come into our health centers. In this role, you'll greet patients, register and schedule appointments, verify insurance, collect payments, and ensure accurate patient information while helping create an efficient, welcoming experience for every individual we serve.


What You'll Do

Welcome and assist patients by:

  • Greeting patients and visitors in a friendly, professional, and confidential manner.
  • Answering incoming telephone calls promptly and routing calls or messages appropriately.
  • Helping patients access the services they need while creating a welcoming environment.
  • Communicating appointment delays and assisting with patient flow throughout the day.

Support patient registration and scheduling by:

  • Completing pre-registration and registration by verifying demographic and insurance information.
  • Preparing patients for their visit by providing and collecting required registration forms.
  • Scheduling, rescheduling, and confirming appointments for multiple providers.
  • Assisting patients with scheduling procedures and testing at outside facilities when needed.
  • Documenting cancellations and no-shows and completing appropriate follow-up.

Maintain accurate patient records by:

  • Updating and scanning registration forms, insurance cards, identification, and other required documentation.
  • Verifying insurance eligibility and maintaining accurate patient records.
  • Assisting with requests for medical records, prior authorizations, and other patient correspondence.

Support patient access and health center operations by:

  • Collecting co-payments, account balances, and other point-of-service payments while accurately maintaining the cash drawer.
  • Collaborating with the billing department to ensure accurate documentation and assist patients with billing questions.
  • Connecting patients with Case Management resources when barriers such as transportation, housing, financial concerns, or language services may impact access to care.
  • Participating in quality improvement initiatives and performing other duties as assigned.

Requirements

Required:

  • High school diploma or GED.

Preferred:

  • One year of experience in a medical office or other health care setting, or specialized education in a medical office program. A combination of education and experience will be considered.
  • Experience with federally qualified health centers (FQHCs).
