Records Compliance Specialist
Job Summary:
The Records Compliance Specialist at Westcliff University plays a pivotal role in maintaining the University catalog, tracking, and updating policies following approval from the University Policy Committee. Collaborating closely with the University Registrar, this specialist ensures consistency and accuracy in policies while ensuring alignment with oversight organizations such as BPPE (Bureau for Private Postsecondary Education) and WSCUC (WASC Senior College and University Commission).
Duties and Responsibilities:
- Maintain the University catalog, ensuring accurate and up-to-date information on programs, courses, and academic policies.
- Track and update policies following approval from the University Policy Committee, maintaining a comprehensive record of policy changes and revisions.
- Work closely with the University Registrar to ensure consistency and accuracy in policies across all university documents and systems.
- Process Satisfactory Academic Progress for all student populations
- Ensure policies align with oversight organizations, such as BPPE and WSCUC, by staying abreast of regulatory changes and compliance requirements.
- Collaborate with relevant departments to gather and disseminate information about policy updates and changes.
- Conduct regular audits and reviews of policy documentation to identify discrepancies or areas for improvement.
- Assist in the development and implementation of processes to enhance the efficiency and effectiveness of policy management.
- Serve as a resource to university staff, faculty, and students on matters related to policies and compliance.
- Participate in relevant committees or task forces related to policy development and compliance.
- Contribute to the overall success of the Office of the Registrar by performing all other duties as required.
Knowledge, Skills, and Abilities Required:
- In-depth knowledge of higher education policies, regulations, and compliance requirements.
- Strong organizational and analytical skills with meticulous attention to detail.
- Effective communication skills, both verbal and written, with the ability to convey complex information clearly and accurately.
- Collaborative mindset, able to work closely with various departments and stakeholders to achieve policy consistency.
- Familiarity with oversight organizations, such as BPPE and WSCUC, and the ability to ensure policies align with their requirements.
- Ability to stay current with regulatory changes and compliance standards in the higher education sector.
- Proficiency in utilizing office equipment, computers, and relevant software applications for policy management.
- Strong written, oral, and digital communication skills.
- Proficiency with Google Suite and Microsoft Office.
- Flexibility with working hours.
Education and Experience:
- Bachelor's degree required.
- 2-3 years of experience in a role related to policy management or compliance within a higher education institution.
- Familiarity with BPPE and WSCUC regulations preferred.
- Prior experience in roles directly related to policy compliance preferred.
