Description
The Human Resources Generalist (HRG) is responsible for delivering core HR services and ensuring the effective execution of programs that support leaders, employees, and organizational objectives. This role provides hands-on support in areas such as employee onboarding, employee relations, benefits and leaves of absence, HR data management, Bison Culture events, etc. Acting as a key resource for employees and leaders, the HRG ensures HR processes are accurate, timely, and compliant with company policies and applicable legislation. The HRG also partners with various departments and collaborates with the HR team to maintain consistency and quality across all HR programs, serving as an ambassador for our business and culture.
While primarily focused on day-to-day operations, the HRG contributes to continuous improvement by identifying opportunities to streamline processes and enhance the employee experience. Success in this role requires a service-oriented mindset, strong organizational skills, attention to detail, and the ability to build collaborative relationships across the organization.
Specific Responsibilities include:
Employee Onboarding:
- Responsible for providing alternating weekly support for new hire orientation sessions with the HR Administrator (HRA) for all new staff including initial orientation and any additional orientation required based on request.
- Ensure ID badge program is maintained, and employee profiles are stored.
- Ensure all property is assigned (ID, parking sticker, swipe card) including printing replacement ID cards for all terminals.
- Conduct Exit Interviews and summarize feedback for leaders, as required.
- Ensure terminated employee property is returned, and e-personnel files are well maintained.
Performance Management/Employee Relations:
- Manage day-to-day performance management and progressive discipline issues as they arise. Mediate non-operational disputes between employees, Drivers and Bison and counsel leaders on actions required and draft appropriate paperwork as needed.
- Develop necessary documentation to support the full cycle of performance management activities (discipline and discharge).
- Ensure compliance under all legislative statutes including those found in the Labour Program in a consultative approach with management.
- Participate in ESDC complaints, investigations and responses as needed.
Benefits Program & Leave of Absence Coordination:
- Assist with the administration of all employee benefits program as required.
- Ensure all changes are made to HRIS database, Manulife, and Canada Life including terminating employees and updating personal information in a timely fashion.
- Answer general inquiries regarding benefit matters.
- Reconcile benefit errors and incomplete benefit related transactions on the Workday Benefits Dashboard
- Provides the analysis and preparation of monthly benefit billing statement.
- Coordinate and administer various types of leaves, including parental, maternity, critical illness, compassionate care, personal, bereavement, and other statutory or company-approved leaves. This includes collaborating with the WCB/WSIB Return to Work and Injury Prevention Coordinator to ensure worker profiles are kept up to date and that benefit administration is addressed.
- Ensure leave requests are processed consistently and in accordance with company policies and applicable legislation.
- Communicate with employees by explaining leave processes, required documentation, timelines, benefit implications, and return-to-work requirements. Provide employees with regular updates regarding the status of their leave.
- Provide managers with guidance on the administrative aspects of employee leaves and assist leaders in understanding expected timelines, communication requirements, and their responsibilities while an employee is away, while maintaining confidential information.
- Maintain accurate and confidential leave records in Bison’s HRIS system, Workday.
- Communicate leave status changes to Payroll and update benefits as required.
- Coordinate employees’ return-to-work plans following an absence.
- Provide administrative support for the submission and processing of status letters.
Human Resource Information System (Workday):
- Ensure employee data integrity is maintained and accurate at all times in both Workday and manual files (as required).
- Review and approve Workday transactions.
- Provide guidance and insight to leaders using Workday people analytics.
- Prepare miscellaneous reports.
Employee Engagement Programs:
- Assist with various Bison Culture events.
- Assist with Corporate Events, such as Gather with Purpose lunches, Pursuit of Excellence Awards, Charity event support, Student on-site events, etc.
- Coordinates Bison Tours for external parties, as required.
Legal Compliance:
- Works with other HR/People Development staff to ensure compliance with Canada Labour Code.
- Assists with the administration of the Personal Information Protection and Electronic Documents Act (PIPEDA).
- Ensure management is advised appropriately when dealing with personnel matters.
Other:
- Provide daily customer service to all employees on-site and through telephone support via the HR/People Development Phone Queue and HR Shared Outlook Inbox
- Participate in and contribute to all other tasks and initiatives as is necessary and as it relates to the goals of the company. I.e. committees, work and focus groups.
- Coordinate and implement projects related to HR initiatives.
- Responsible for the maintenance and updating of HR related information on the Intranet sites.
- Other duties as assigned.
Our Ideal Candidate will possess:
- 2-3 years of experience working in a similar HR role using a sophisticated HRMS tool, preferably Workday.
- A university degree or college diploma in HR management or a related field, such as business administration, industrial relations, commerce or psychology or completion of a professional development program in human resources administration.
- Strong focus on providing exceptional customer service.
- A track record of exercising professionalism and confidentiality at all times.
- Strong problem-solving abilities.
- Strong time management and organizational skills.
- Ability to manage multiple stakeholder relationships and work effectively with various levels of employees.
- Ability to adapt to workload and working conditions while maintaining a positive, approachable attitude and professional demeanor.
- Excellent oral communication skills for face-to-face, video and telephone interviews, and excellent written communication skills - specifically speaking with clarity and confidence and writing concise job posting and job descriptions.
- Excellent MS Office Suite skills are required.
- Valid driver's license and access to reliable transportation.
