Assistant Facilities Manager - Serviced Offices | Munich
We're looking for a skilled Assistant Facilities Manager to support the delivery of best-in-class facilities services across our serviced office portfolio. In this role, you'll work closely with senior management and on-site teams to ensure operational excellence, compliance, and exceptional client satisfaction. You'll balance client-facing service delivery with key operational responsibilities including event coordination, workplace experience management, contractor oversight, and health and safety compliance. What You'll Do
You'll promote high levels of satisfaction among client users by promptly responding to their service requirements and ensuring swift response from team members and service providers. The role requires you to demonstrate leadership, give direction, and mentor the JLL team to promote engagement and excellence in customer service delivery.
As a key client contact, you'll develop close working relationships with stakeholders, understanding their culture and needs to deliver tailored workplace experiences. You'll plan and coordinate events across multiple sites, working with food and beverage providers, amenities teams, and concierge services to create engaging on-site activities that enhance the serviced office experience.
You'll maintain role as secondary contact for service requests, ensuring all requests are actioned within agreed timeframes and KPIs. Your focus will be on ensuring office housekeeping and cleanliness is delivered to the highest standards, monitoring service quality, and implementing continuous improvements to workplace environments.
While supporting the technical facilities operations including Building Management Systems, PPM schedules, and task systems, your primary focus will be on service delivery excellence. You'll act as go-to person for facilities management activities on site, providing timely solutions and identifying potential service improvements.
You'll coordinate and supervise contractors and service providers, reviewing documentation and ensuring safe working practices in collaboration with the JLL Health & Safety Manager. Communicating in an open, honest, and transparent manner, you'll tailor messages to specific audiences and their needs while adding value through innovation and service enhancement.
Financial management will be a key responsibility as you proactively manage spend and budgets locally, processing purchase orders and invoices for services including events, catering, cleaning, reception services, and maintenance activities. You'll travel regularly to various locations to ensure service standards are maintained and to support event delivery across the portfolio.
What We're Looking For
Experience & Education
- Minimum 3 years of facilities management experience in commercial environments, preferably in serviced offices, coworking spaces, or multi-tenant properties
- Demonstrated experience in customer service, relationship management, and workplace experience delivery
- Background in event planning, vendor management, and service coordination
- Experience managing soft services (cleaning, catering, reception, concierge) preferred
Technical Skills
- Proficiency in Microsoft Office Suite and facility management systems
- Experience with event planning tools and service management platforms
- Knowledge of workplace experience trends and service delivery best practices
- Interest in continuous improvement and emerging workplace technologies
Core Competencies
- Fluency in German and English with excellent communication skills tailored to diverse audiences
- Outstanding customer service orientation with creative problem-solving mindset
- Strong relationship-building skills with ability to create partnerships and deliver exceptional experiences
