Position Summary: 

The Home Office Maintenance Director is responsible for providing quality maintenance of our commercial office space housing the Dover Companies and its tenants. This role is primarily responsible for the upkeep of the Home Office building’s interior, exterior, grounds, mechanical, electrical, and plumbing systems, components, and equipment for exceptional appearance, safety, and function. Other duties include supporting nearby Cedarhurst operated communities and additional work as assigned by Executive Leadership.


Essential Duties:

  • Supervise, support, and coordinate contracted or in-house housekeeping personnel as required by office and tenant needs. Repair, maintain, and manage janitorial equipment.
  • Maintain all areas inside the building at the highest cleanliness standards, to include but not limited to routine and deep cleaning of carpets, hard surface flooring, windows and glass, and furniture.
  • Maintain grounds, including exterior building repair and lawn maintenance, in cooperation with the landscaping contractor and waste removal services.
  • Assist in implementing and documenting a preventative maintenance program for the facility and equipment in accordance with equipment manufacturer recommendations and industry standards and best practices.
  • Prepare and refurbish office common areas and offices as needed, including patching and painting walls and ceilings, carpet replacement or deep cleaning, replacing vinyl floors, installing lighting fixtures, changing light bulbs, and refinishing trim, cabinetry, and shelving. Hang TV monitors, artwork, communication boards, and shelving.
  • Maintain fire safety and emergency records and procedures in compliance with regulations and environmental concerns (natural disasters, fires, loss of electricity, plumbing issues, pipe breakages, etc.), and maintain the catalog of Safety Data Sheets (SDS).
  • Inspect tenant suites for potential problems and hazards; repair and/or report updates to Management for follow up.
  • Schedule and/or perform preventative maintenance and keep quality assurance records up to date for the physical plant and mechanical, electrical, and plumbing systems.
  • Utilize building management software to document and track maintenance tasks, office repair and renovation projects, and work orders.
  • Ensure effective communication with office tenants regarding building maintenance activities, including work order status, system maintenance that may interrupt daily operations, and safety concerns and procedures.
  • Order supplies and equipment required for the upkeep of the physical plant, including housekeeping supplies, replacement parts, filters, bulbs, etc.
  • Work and communicate with tenants, coworkers, and vendors with a service-minded and solutions-based approach.
  • Respond to security and/or fire alarm alerts at all times, including outside of normal business hours. Maintain oversight of Home Office security cameras, the alarm monitoring vendor, and Building Automation Systems.
  • Be available to respond to urgent issues outside of normal working hours (nights and weekends) as they arise, and arrange for coverage if unavailable for planned vacation or other time off.
  • Complete other tasks as assigned, specifically supporting the Dover Companies within the Home Office and other operating entities, and performing general handyman work for Executive Leadership.

  

Qualifications, Education and/or Experience: 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and abilities required.

  • Two to five (2-5) years of related experience preferred, or accredited maintenance training.
  • Applicable licensure or certification, as required.
  • Working knowledge of carpentry, including drywall repair, painting, light plumbing repair, light electrical work, and maintenance and troubleshooting of HVAC equipment.
  • Basic technical knowledge and mechanical ability to perform routine preventative maintenance and repair on mechanical and electrical equipment. Basic knowledge of construction principles.
  • Basic technical knowledge of Life Safety systems and protocols, including fire and smoke detection and alarm systems, fire suppression systems, and emergency preparedness.
  • Demonstrated proficiency with internet browsers (e.g., Chrome, Edge, Firefox) and Microsoft Office programs including Outlook, Excel, and Word. Experience with building maintenance software such as TELS is strongly preferred.

  • This position is required to work onsite at the St. Louis Cedarhurst Home Office full time, Monday through Friday, and may be required to work weekends and holidays as needed, remain on call, and make oneself available outside of normal working hours.
  • Work is primarily indoors within the Home Office, which includes tenant office suites, private or secured spaces, and common spaces (dining, cafe, and break areas, reception, restrooms, etc.). This role will also flex to support the Dover company portfolio and specialized ownership needs and requests.
  • This position may need to lift and/or move up to fifty (50) pounds independently and occasionally lift and/or move up to two hundred (200) pounds with assistance. Routine use of ladders and hand and power tools is required. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • The individual in this position is responsible for maintaining a safe work environment by actively preventing accidents, preserving equipment, and promoting safe working practices. They will also participate in risk management and quality assurance programs to ensure the safety and wellbeing of the physical plant and those who work within it.
  • This role involves actively working across separate business entities within the Dover Companies and with outside entities (tenants). The individual will contribute as a collaborative team player, working alongside colleagues and communicating with everyone from front line staff to Executive Leadership to create a supportive and cohesive work environment.
  • Individuals in this position are required to stay current on all applicable Cedarhurst training and ongoing education initiatives. They are expected to actively pursue self-improvement and embrace opportunities for continuous learning to enhance their skills and knowledge.
  • The individual in this position must maintain compliance with all personnel policies, established policies and procedures, and applicable regulations and standards regarding commercial property management, including but not limited to HIPAA privacy, confidentiality laws, and life safety codes.
  • Being prepared to respond calmly and effectively to emergencies, such as medical incidents or natural disasters, is essential for ensuring the safety and well-being of tenants and staff.
