Description
The Office Services Lead is responsible for overseeing the on-site office processes, maintaining vendor relations, assisting with budget and internal and external meetings and executing executive level administrative projects and events.
MAIN DUTIES AND RESPONSIBILITIES
- Capable of business correspondence with outside vendors and internal co-workers at all levels of the organization;
- Liaison between vendor and Legal/Procurement to generate a contract that is agreeable to both parties and adheres to the company’s standards;
- Responsible for badge access processes which includes continuous maintenance to confirm compliance with security;
- Assist with all catering activity and on-site events;
- Ensure all office space is organized and in good working order
- Willingness to assist with all stocking, inventory, supply ordering processes
- Process invoices and partner with Accounting
- Oversee all shipping and receiving activity;
- Engage in front desk activities as needed
- Oversee and own the on-going development of manuals and documentation;
- Organize and coordinate with employees for the most optimal space utilization in a cost-effective manner;
- Maintain relationships with outside vendors and advise on potential new vendors
- Update the office budget which rolls up into the overall department budget;
- Work with building management to ensure all areas, including parking, are up to code and office is in good working order;
- Point of contact for Safety and Emergency policies and protocols
- Act as resource for other team members
- Communicate building updates and internal process/policy changes to Sofia employees
- Willingness to take on new projects as needed
SPECIFIC KNOWLEDGE AND SKILLS
- Excellent verbal and written communication skills that allow for effective communication with executive management and across a multicultural, multinational environment;
- Independent and self-motivated professional with exceptional research, analytical, oral and writing skills; able to grow positive relationships with clients and colleagues at all organizational levels;
- Possess mature confidence when managing changing priorities;
- Possess front office professionalism.
KEY BEHAVIOR SKILLS
- Highly organized, able to work autonomously, to delegate and multitask effectively and to meet tight deadlines;
- Consistently represent the company in professional manner.
- LEVEL OF QUALIFICATION/EDUCATION/EXPERIENCE
- Proficiency with Outlook and Microsoft Office (Word, Excel, PowerPoint and Internet applications);
- 3 years as a Senior Office Services Specialist.
