SUMMARY

The Director of Facilities, Ministry Support and Maintenance provides strategic leadership and operational oversight for facilities, ministry environments, and setup operations across all campuses. This role leads and develops Regional Managers at each campus, establishing consistent standards, systems, and expectations for facility maintenance, ministry setup, safety, cleanliness, and operational readiness.

The Director ensures every campus is safe, functional, well-maintained, visually prepared, and fully equipped to support weekly worship services, ministry activities, special events, and other church gatherings. This includes overseeing ministry setup and teardown, room configurations, furniture and equipment placement, environmental readiness, and campus-specific facility needs. The Director partners closely with ministry leaders and campus teams to anticipate needs, remove operational obstacles, and ensure each location is prepared to create an excellent first impression and an environment where ministry can happen effectively.

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

Operational Leadership and Stewardship

  • Provide strategic leadership, coaching, and operational direction to Regional Managers responsible for ministry setup, facilities, and maintenance at each campus.
  • Create cultural standards so that Regional Managers lead campus teams in ensuring every location is safe, clean, functional, welcoming, and fully prepared for weekly ministry gatherings, special events, and other church activities.
  • Establish and reinforce consistent standards for facility care, ministry setup, cleanliness, readiness, and operational excellence across all campuses.
  • Coach Regional Managers to effectively prioritize work orders, ministry setup needs, maintenance, daily operations, and event support.
  • Partner with campus and ministry leadership to anticipate operational needs and ensure facilities and ministry environments are prepared to support the church's mission.
  • Provide oversight of facility and ministry setup budgets, monitoring expenses and identifying opportunities for greater efficiency, stewardship, and cost savings.

Facilities and Maintenance Management

  • Provide strategic oversight of facility maintenance systems and practices across all campuses, ensuring buildings, grounds, equipment, and ministry environments are properly cared for.
  • Develop and oversee the regular use of MaintainX for work orders, preventative maintenance, scheduling, communication, and operational alignment across campuses.
  • Ensure the Madison warehouse, in coordination with the City Missions Pastor and Regional Facility Manager, is proper order so that resources and equipment are stored, maintained, inventoried, and available to support campus and ministry needs.
  • Coach Regional Managers and campus teams in the proper use, care, and stewardship of building systems, equipment, tools, furniture, and ministry resources.
  • Develop proactive systems that enable campus teams to identify and address facility and operational issues before they become larger or more costly problems.
  • Establish and implement preventative maintenance strategies that protect and extend the life of buildings, equipment, and critical systems.
  • Provide coaching and support for the timely and effective resolution of facility issues, offering strategic guidance on complex or cross-campus challenges.
  • Provide oversight and strategic coordination for HVAC, plumbing, electrical, and other building systems in partnership with the Director of Construction.

Ministry Setup and Campus Readiness

  • Establish consistent ministry setup standards and systems across all campuses to ensure spaces are prepared with excellence, accuracy, and attention to detail.
  • Ensure campus teams have clear processes for receiving, prioritizing, communicating, and executing ministry setup and teardown requests through Rock RMS.
  • Coach Regional Managers in developing effective setup plans, staffing strategies, timelines, and communication processes for ministry needs.
  • Develop scalable setup systems that promote consistency across campuses while allowing for the unique needs and rhythms of each location.
  • Identify opportunities to improve the efficiency, quality, and stewardship of ministry setup resources, equipment, and labor.
  • In Coordination with the Director of Construction and the Director of Safety, ensure door access is functional, scheduled, and ready for ministry needs at each campus.
  • Establish clear expectations for campus readiness and ensure each campus is fully prepared to provide an excellent first impression for those who attend or serve.

Scheduling and Coordination

  • Coach Regional Managers and campus teams to provide appropriate staffing and coverage for weekly ministry rhythms, events, special gatherings, and facility needs.
  • Host regular Regional Manager MaintainX meetings to ensure maintenance needs are being addressed in an uniform nature, with excellence at each campus. Model how this meeting should happen on a weekly basis between the Regional Manager’s and their staff.
  • Conduct monthly check-in’s with Campus Leadership to build relationship, check quality, and confirm needs that have arisen from campus facility teams and ministries.

Vendor Relations

  • Develop and maintain strong partnerships with vendors, contractors, and service providers while ensuring quality work, accountability, safety, and timely follow-through.
  • Provide strategic input regarding facility needs, ministry setup resources, vendor performance, and organizational stewardship.
  • Evaluate vendor relationships and identify opportunities to improve service, efficiency, consistency, and value across campuses.
  • Establish expectations and standards for vendor performance and ensure Regional Managers have appropriate processes for managing vendor relationships at the campus level.

Performance and Accountability

  • Establish and monitor key performance indicators related to facility readiness, work orders, preventative maintenance, ministry setup, response times, and completion rates.
  • Provide regular operational reporting and insight regarding campus facility and ministry readiness across all locations.
  • Use operational data and feedback to identify trends, address recurring issues, and improve campus performance.
  • Champion continuous improvement through coaching, evaluation, process refinement, and cross-campus collaboration.
  • Hold Regional Managers accountable for established standards, priorities, service levels, and operational outcomes.

Compliance and Safety

  • Lead and support Regional Managers and campus teams in maintaining compliance with safety standards, building codes, inspections, and applicable regulations.

SUPERVISORY RESPONSIBILITIES

Manages the Regional Facilities teams, supervises administrative support and helps foster relationships between construction, maintenance and housekeeping teams.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

· Bachelor’s degree required.

· Minimum of 10 years of experience in multi-site facility management

· Minimum of 5 years of experience leading and coaching staff

LANGUAGE SKILLS

The individual must have excellent interpersonal skills, ability to work with a diverse group of people, communicate clearly and effectively on the telephone, e-mail and in person, demonstrating tact and diplomacy. Exceptional interpersonal skills are required to develop and maintain strong working relationships with volunteers, co-workers, the public and church members and regular attendees. The individual must have the ability to understand written or oral instructions; read, analyze and interpret complex documents, instructions manuals, policies and procedures is essential.

COMPUTER AND MATHEMATICAL SKILLS

The individual must have demonstrated skill in the use of Windows/MacOS to complete tasks, including word processing and spreadsheets and the ability to use the internet for information retrieval. The individual must have basic mathematical skills, knowledge of bookkeeping and basic accounting, and budget and expense monitoring. The individual must have the ability to read financial information and spreadsheets.

The individual must be able to define problems, collect data, establish facts, and draw valid conclusions; respond effectively to the most sensitive inquiries; simultaneous conceptualization and planning of multiple tasks, ability to project outcomes using different implementation strategies and ability to apply creative and innovative thinking to problem situations; and solve practical problems. The ability to work effectively and efficiently under stressful conditions to ensure deadlines are met is essential.
