Business Planner
Position Overview
The Business Planner provides critical administrative and operational support for facility operations, compliance, and service delivery. This role serves as a key liaison between clients, vendors, and internal teams, managing CMMS administration, work order coordination, vendor management, inventory control, and compliance documentation in a fast-paced, growing facility environment.
Employment Type: Part-Time
Salary Range: $60,000 - $70,000 (prorated based on hours)
Schedule: This position supports both 1st and 2nd shift operations.
Key Responsibilities
CMMS Administration & Work Order Management
- Create, manage, and track work orders in CMMS for maintenance and service requests
- Coordinate resources, provide completion timelines, and follow up with end users
- Administer Preventive Maintenance (PM) and Corrective Maintenance (CM) activities
- Enter new equipment data and associated PM schedules into CMMS
- Ensure all work orders include required supporting documentation for audit readiness
- Maintain compliance with General Motors and IATF requirements
- Organize and maintain warranties, contracts, and drawings
Compliance & Safety Documentation
- Manage Pre-Task Plan (PTP) documentation and uploads to ensure compliance with GM safety standards
- Coordinate and document Safety Observation Tours (SOTs), including creation of corrective action work orders
- Complete six JLL SOTs monthly with housekeeping team and vendor partners
- Monitor good catches and perform Corrective Action (CA) Audits
- Maintain organized filing systems for safety, environmental, and operational documentation
Vendor & Procurement Management
- Coordinate work requests, obtain vendor proposals, and schedule site walks
- Gather and organize documentation for client review and approval
- Process Purchase Orders (POs), GRNV transactions, and BTAP exceptions
- Resolve discrepancies with vendors and accounts payable to ensure timely payments
Inventory & Supply Management
- Monitor and maintain inventory levels for cleaning consumables, coffee supplies, and maintenance materials
- Track usage trends, forecast needs, and proactively reorder supplies
- Coordinate with suppliers to prevent stock shortages and operational disruptions
Event Support & Additional Duties
- Plan, coordinate, and execute site events including setup and breakdown
- Maintain site contact lists, asset lists, and support monthly newsletter creation
- Support paperless initiative implementation
- Provide additional administrative support to Facility Manager as needed
Required Qualifications
Education & Experience
- High school diploma or equivalent required; Associate's degree preferred
- 2+ years of experience in administrative support or facility operations
- Experience with Computerized Maintenance Management Systems (CMMS)
Technical Skills
- Proficiency in CMMS platforms
- Advanced Microsoft Office Suite skills (Excel, Word, Outlook)
- Strong data entry and database management capabilities
- Experience with purchase order and procurement processes
