About the Role
I am working with a highly regarded business based in Northampton to recruit an Operations Assistant to join its busy and collaborative team.
This is a varied, hands-on role supporting the day-to-day running of the business, with a primary focus on sales order processing, stock management and customer service.
Working closely with the Operations, Sales, Technical and Finance teams, you will help ensure orders are processed accurately and efficiently, deliveries are monitored, and customer expectations are consistently met.
This opportunity would suit someone who is organised, proactive and enjoys a varied workload, combining administrative responsibilities with practical tasks and supporting colleagues across different departments.
Key Responsibilities
- Process sales orders accurately and promptly using Microsoft Dynamics NAV.
- Liaise with customers, colleagues, warehouse teams and transport providers to ensure orders and deliveries run smoothly.
- Monitor delivery queries, including delays, discrepancies and stock issues, ensuring these are followed up through to resolution.
- Process order amendments, credit notes and stock adjustments where required.
- Maintain accurate system records and departmental documentation.
- Work closely with the Finance team to support stock reconciliation and credit control procedures.
- Keep the Operations team informed of important issues affecting workloads, deliveries and customer service.
- Provide cover for the Operations Co-ordinator during periods of absence.
- Support the Technical and Marketing teams when required, including preparing product samples for exhibitions, completing customer request forms and assisting with mailouts.
- Answer incoming telephone calls, welcome visitors and help maintain a professional office environment.
- Assist with general office duties and follow company procedures, including GDPR requirements.
About You
To be successful in this role, you will be organised, proactive and comfortable working in a fast-paced environment where priorities can change throughout the day.
You will ideally have:
- Strong IT skills and confidence using computer systems.
- Excellent attention to detail and the ability to maintain accurate records.
- Good written and verbal communication skills.
- A professional telephone manner and a customer-focused approach.
- The ability to multitask, prioritise workloads and meet deadlines.
- A flexible, hands-on approach to supporting different areas of the business.
- The ability to work independently while contributing positively to a close-knit team.
- A willingness to learn new systems and procedures.
Previous experience in customer service, sales order processing, office administration, warehouse administration or transport coordination would be advantageous.
Additional Information
This is a varied position within a small business, so flexibility and a willingness to support colleagues across different departments are important.
The role may occasionally involve assisting with the preparation of frozen product samples in a cold environment, with temperatures reaching approximately -18°C. Appropriate protective clothing and safety footwear will be provided, alongside relevant health and safety guidance.
