Position Overview: This position supports the OHARNG Medical Case Management Services as a Case Coordinator – MEB (2 Positions). KSA Integration LLC provides non-clinical medical case management support to sustain Individual Medical Readiness for approximately 9,549 Ohio Army National Guard Soldiers across six brigades, working in the Army systems of record (MEDPROS, MODS, eCase, MEDCHART, and the Health Readiness Record). MEB Case Coordinators support the MEB Case Manager on the documentation side of the IDES/MEB mission. They gather records, assemble packets, enter data, and keep the paper trail complete and audit-ready so the MEB Case Manager can keep cases moving.

Job Type: Full-time/Non-exempt. Service Contract Act (SCA) covered — SCA labor category: SCA 12160, Medical Record Clerk. Wage Determination 2015-4729 (Franklin County, Ohio). Core duty hours 0730–1630 Eastern, Monday through Friday; no services on federal holidays or facility closures; surge support required during Soldier Readiness Processing (SRP) events. Reports to: Lead Case Manager.
Location: On-site — Defense Supply Center Columbus (DSCC), Medical Detachment, Building 11, Section 11, 401 North Yearling Road, Columbus, OH 43213.
Anticipated Start Date: Contingent upon contract award — Anticipated start: September 2026.
Position Responsibilities:
- Gather and organize medical documentation for MEB/IDES packets; verify completeness against packet checklists.
- Enter and update case data in eCase, MEDCHART, and the HRR; keep records consistent across systems.
- Process and file Release of Information requests and returned records.
- Track document requests to providers and units; follow up until items are received.
- Support SRP events: assist Case Managers and Medical Readiness NCOs with initial processing and gathering required medical documentation (PWS 5.2.5).
- Maintain PII/PHI safeguards in all record handling.
Requirements
Position Requirements:
- One or more years of medical records, health information, or administrative records experience.
- Accurate, fast data entry and strong organization.
- Ability to manage many open document requests at once without losing any.
- U.S. citizenship and ability to obtain and keep a Common Access Card (CAC), including a favorably adjudicated Tier 1 (or higher) background investigation.
- Ability to complete all required Government training within phase-in timelines, including JKO modules (DHA-US298 Medical Readiness Portal, DHA-US299 Administrative Portal, DHA-US001 HIPAA), AT Level 1, OPSEC Level 1, PII, CUI, iWATCH, TARP, MHS Genesis, and Combating Trafficking in Persons.
- Ability to handle Protected Health Information and PII correctly under HIPAA and the Privacy Act, every day and without exception.
- Strong attention to detail and clear written and spoken communication.
- Proficiency with Microsoft Office and the ability to learn Army medical readiness systems quickly.
Preferred Skills/Experience:
- MEB/IDES documentation exposure.
- Experience in eCase, MEDCHART, MEDPROS, or HRR.
- Prior military service, National Guard service, or military family background.
