Executive Assistant
Location: Toronto, ON (Hybrid - 4x/week onsite)
Compensation: $80,000–$120,000 CAD
Our client is seeking a proactive and highly organized Executive Assistant to support a senior executive in a dynamic investment environment. This role is ideal for someone who thrives in a fast-paced setting, enjoys solving problems, and can confidently manage competing priorities with minimal supervision.
Key Responsibilities
- Manage a complex executive calendar, coordinating meetings across multiple offices and time zones while anticipating scheduling conflicts.
- Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and expense reporting.
- Prepare meeting materials by researching attendees, companies, and previous interactions within the CRM.
- Maintain accurate CRM records, update contact information, and assist with pipeline tracking and reporting.
- Support the coordination of internal meetings, executive presentations, confidential documentation, and stakeholder communications.
- Assist with event planning, onboarding activities, and other administrative projects as needed.
- Identify opportunities to improve workflows by leveraging automation, AI, and productivity tools.
- Provide backup administrative support to other members of the leadership team when required.
Qualifications
- 3+ years of Executive Assistant or senior administrative experience supporting executives in a fast-paced environment.
- Previous experience in financial services, professional services, private equity, venture capital, or a similar industry is an asset.
- Proven ability to manage complex calendars, international travel, and multiple priorities simultaneously.
- Experience using CRM platforms and expense management software.
- Strong proficiency with Google Workspace and virtual collaboration tools.
- Comfortable using AI and workflow automation tools to improve efficiency.
- Excellent communication, organizational, and problem-solving skills, with a high level of discretion and professionalism.
- Self-motivated, adaptable, and able to work independently while collaborating effectively with cross-functional teams.
