Overview
We are looking for a highly organized, proactive, and dependable Executive Assistant to support the Director in managing day-to-day operations, strategic priorities, and stakeholder engagement.
This role requires strong business understanding, executive maturity, and the ability to manage competing priorities in a fast-paced, high-visibility environment.
The Executive Assistant will act as a trusted partner to the Director, ensuring seamless coordination across teams and enabling effective decision-making.
Duties & Responsibilities
Key Responsibilities
- Manage complex calendars, schedule meetings, and prioritize engagements.
- Anticipate conflicts and proactively align meetings with business priorities.
- Coordinate internal and external meetings including leadership forums.
- Prepare executive presentations, dashboards, and briefing notes.
- Track action items from leadership meetings and ensure timely follow-ups.
- Assist in business reviews, monthly/quarterly reporting, and operational tracking.
- Maintain organized documentation of key initiatives and decisions.
- Serve as a liaison between the Director and internal teams, clients, and partners.
- Draft professional emails, communication notes, and meeting summaries.
- Ensure smooth information flow across cross-functional teams.
- Plan domestic/international travel (itineraries, visas, logistics).
- Support leadership offsites, townhalls, and internal events.
- Coordinate logistics with HR, Finance, Admin, and external vendors.
- Maintain confidentiality of sensitive business information.
- Manage expense reports and administrative documentation.
- Ensure adherence to compliance and internal processes.

Skills Required
Required Skills & Qualifications
- 5–6 years of experience as Executive Assistant / Senior Executive Coordinator.
- Prior experience supporting Director / VP / CXO level leaders.
- Strong written and verbal communication skills.
- Advanced proficiency in MS Office (PowerPoint, Excel, Outlook).
- High attention to detail and structured working style.
- Ability to handle confidential information with discretion.
- Strong multitasking and prioritization skills.
Preferred Qualifications
- Experience in IT services / multinational environment.
- Exposure to board decks or leadership reporting.
- Bachelor’s degree required; MBA preferred.
