Administrative Assistant to the General Manager – Multifamily Property Management
Our client is seeking a detail-oriented, highly organized Administrative Assistant to support the General Manager and onsite management team at a busy apartment leasing center serving a 900+ unit luxury garden-style multifamily community. This is a hands-on opportunity for a property management professional who thrives in a fast-paced environment, can manage competing priorities, and takes ownership of their responsibilities from start to finish.
The community features 1-, 2-, and 3-bedroom market-rate apartments, with approximately 40–50 Section 8/voucher units. The ideal candidate brings experience supporting a large multifamily community or multi-site portfolio and is comfortable balancing resident relations, administrative responsibilities, compliance paperwork, financial processing, and day-to-day coordination with the onsite and maintenance teams.
What You’ll Do
- Manage lease renewals, renewal paperwork, and related resident communications
- Serve as a key point of contact for resident relations and customer service
- Monitor and respond to office emails and telephone calls
- Prepare and track monthly delinquency reports
- Process, scan, and organize checks and other financial documentation
- Process notice-to-vacate paperwork, move-out documentation, and related files
- Maintain accurate resident records by adding, removing, and updating documents
- Coordinate unit transfers and associated administrative requirements
- Complete and maintain Section 8 and housing assistance paperwork
- Track Housing Assistance Payments (HAP) and follow up when payments are delayed
- Coordinate with maintenance staff, contractors, and other vendors to address resident and property needs
- Provide front-desk coverage and assist residents, prospects, and team members as needed
- Support the leasing team with administrative tasks and day-to-day office operations
- Perform data entry, filing, document management, and general administrative duties
- Organize and distribute community mailings and resident communications
- Assist the General Manager and management team with special projects and other operational needs
What We’re Looking For
The successful candidate is organized, dependable, computer savvy, and exceptionally detail oriented. You should be comfortable working independently, managing a high volume of administrative tasks, and knowing what needs to be done without constant direction.
Ideal candidates will have:
- Multifamily property management experience, preferably supporting a large community or multi-site portfolio
- Strong administrative and organizational skills
- Excellent written and verbal communication
- A strong resident services and customer service mindset
- Experience managing multiple priorities in a busy leasing or management office
- Strong attention to detail and follow-through
- Comfort with data entry, paperwork, document management, and property management systems
- Section 8, voucher, HAP, or affordable housing experience is a plus
- A stable employment history and demonstrated commitment to previous employers
- The ability to work independently and take ownership of assigned responsibilities
