Project Coordinator

Job Title: Project Coordinator

Classification: Full-Time – Exempt

Reports To: Senior Manager of Accessibility

Location: Field-based with office work as needed – potential hybrid remote option as role matures

Pay Rate: Salaried (see compensation progression note below)

Summary: 

The Project Coordinator is responsible for managing accessibility-related projects from assessment through completion, ensuring services are delivered in compliance with approved Service Agreements and Minnesota DHS waiver requirements. This role serves as the primary point of contact for clients, case managers, and subcontractors, and relies heavily on empathy, professionalism, clear communication, and sound judgment when working with individuals in their homes and navigating complex or sensitive situations. Project Coordinators manage project timelines, conduct in-home assessments, develop scopes of work, and oversee project coordination while maintaining compliance, documentation, and service quality.

Schedule: Full-time weekdays, with flexibility to manage project schedules

Responsibilities:

Project Coordination

  • Manage accessibility projects from initial assessment through project completion.
  • Own project timelines and coordinate all phases of work to ensure timely and compliant service delivery.
  • Create scopes of work independently based on in-home assessments and authorized services.
  • Review and finalize bids, providing subcontractor options for approval.
  • Approve change orders when adjustments fall within authorized budget amounts; escalate exceptions as needed.
  • Monitor project progress and resolve issues to keep projects on track.
  • Communicate and coordinate with other divisions; Billing, Finance, and SEP teams regarding subcontractor billing and project-related payments.
  • Provide required documentation and light billing preparation to support accurate payment processing.

Assessments & Documentation

  • Conduct in-home accessibility assessments in residential environments.
  • Prepare formal written assessment reports in accordance with program and compliance requirements.
  • Maintain complete, accurate project documentation throughout the lifecycle of each project.

Relationship Management & Communication

  • Serve as the primary point of contact for clients, case managers, and subcontractors.
  • Apply empathy, professionalism, and sound judgment when communicating in sensitive or complex situations.
  • Coordinate project details, timelines, and changes with all stakeholders.
  • Escalate concerns or complex issues to the Senior Manager of Accessibility as appropriate.

Vendor & Contractor Coordination

  • Recommend subcontractors and coordinate project execution once approved.
  • Collaborate with subcontractors to ensure work meets scope, quality, and compliance expectations.
  • Maintain strong professional relationships with subcontractors to support consistent service delivery.

Other Duties as Assigned

  • Perform other duties as assigned to support organizational needs.

Requirements

Qualifications:

Required:

High school diploma or equivalent.

Ability to work independently while effectively collaborating with internal teams and managing multiple projects simultaneously

Strong verbal and written communication skills with a demonstrated ability to interact professionally and empathetically with clients and partners.

Ability to conduct in-home assessments and prepare formal written reports.

Comfort working in systems such as Salesforce, Excel, and SharePoint (training provided).

Strong attention to detail and documentation accuracy.

High level of integrity, discretion, and professionalism.

Valid driver’s license, reliable personal vehicle and proof of auto insurance.

Ability to travel throughout Minnesota as required for projects.

Must pass a background check.

Preferred:

Experience in accessibility services, home modifications, construction coordination, or related human services fields.

Familiarity with Minnesota Medicaid waivers or government-funded programs.

Accessibility Specialist license (if not currently held, obtaining this license is a requirement of this role)

Assistive Technology certification (if not currently held, obtaining this certification may be required)

General Contractor experience, i.e. working with subcontractors and managing project timelines.

Certifications & Professional Development

Required: Accessibility Specialist certification through the Department of Labor. Training and certification costs are paid by ConnectAbility of MN. Ongoing continuing education (CE) is required and supported by ConnectAbility of MN.


Compensation Progression:

Obtaining and maintaining Accessibility Specialist certification is a required component of this role and is accompanied by a compensation increase upon certification.


Assistive Technology Specialist certification may be pursued at the discretion of the Senior Manager of Accessibility.

Physical & Environmental Requirements

This role requires the ability to conduct in-home assessments in a variety of residential environments. Project Coordinators must be able to navigate stairs, uneven surfaces, and other physical obstacles commonly found in unmodified homes. Work may involve exposure to homes with pets, tripping hazards, and other environmental conditions typical of residential settings. The role requires the ability to sit, stand, drive, and walk for extended periods. Reasonable accommodation may be made to enable individuals to perform essential functions.
