Key Responsibilities
Project Coordination & Scheduling
- Assign incoming projects to appropriate engineers based on workload, expertise, and project requirements.
- Monitor project timelines and deadlines.
- Maintain project schedules and workload tracking.
- Ensure projects move efficiently through each stage of completion.
- Identify scheduling conflicts and resource constraints.
Client Communication
- Serve as the primary point of contact for project status inquiries.
- Provide regular project updates to clients.
- Coordinate meetings, site visits, and project discussions.
- Manage incoming calls and emails from clients, contractors, and municipalities.
- Escalate technical questions to the appropriate engineering staff.
Operations Management
- Track project progress from initiation through final delivery.
- Maintain project records and documentation.
- Coordinate permit applications, submittals, and deliverables as needed.
- Generate project status reports for management.
- Monitor outstanding tasks and follow up with team members.
Team Support
- Assist engineers with project administration and workflow management.
- Coordinate internal project meetings.
- Support proposal preparation and project setup.
- Help maintain quality control procedures and project tracking systems.
Qualifications
Required
- 3+ years of experience in project coordination, operations management, construction administration, engineering consulting, or related fields.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Proficiency with Microsoft Office Suite and project tracking software.
- Onsite 5 days per week
Preferred
- Experience working with engineering, construction, surveying, architecture, or permitting projects.
- Understanding of engineering plans, reports, and project lifecycles.
- Experience with project management software such as Monday.com, Asana, Smartsheet, Deltek, or similar platforms.
- Associate's or Bachelor's degree in Business, Construction Management, Engineering Technology, or related field.
