Title: Project Coordinator
Location: Belgrade, Serbia
Key responsibilites
- Primary function is to support Project Manager(s) in duties involving internal and external communications, data system management, and ATM installation monitoring.
- Serve as a primary Point of Contact for 3rd Party Rigging Vendors for ATM Deployment projects, specifically for site survey planning, scheduling, OOS procurement, and deliverables.
- Manage and monitor all Day of Install activities, including Rigger and CE escalations.
- Coordinate site surveys, ensuring required data, photos, and documents are completed and uploaded.
- Translate survey findings into ATM equipment, configuration, and feature requirements.
- Track ERP orders, ATM/equipment delivery, signage, software, initialization kits, and related shipments.
- Develop and manage rigging, staging, installation, bring-live, and cash-in-transit schedules.
- Coordinate resources across account executives, project managers, riggers, vendors, installation coordinators, field engineers, and professional services.
- Maintain project-site, ATM, order, dispatch, serial-number, and installation-status records in EPM and SharePoint.
- Collect customer configurations and ensure staging documentation is complete before installation.
- Confirm technician assignments, dispatch creation, schedules, and pre-installation instructions.
- Monitor staging, rigging, installation, and bring-live activities through completion.
- Verify ATM, lock, and equipment serial numbers and maintain accurate asset records.
- Confirm cash-pull and cash-load arrangements when required.
- Communicate daily installation status and sign-off information to customers and stakeholders if required.
- Resolve or escalate scheduling, delivery, documentation, and installation issues.
- Complete post-installation updates, verify labor and travel hours, and ensure service requests are closed.
- Maintain accurate, timely project records to support successful installation, customer acceptance, transition, and billing.
- Responsible for requesting project planning resources, including bridgeline and field support.
- Maintain and build strong relationships with internal teams and third-party vendors.
- Use system reports to manage project activities.
- Update and maintain EPM QuickBase™ with accurate project data.
Basic Qualifications
- Must have a university degree, college diploma, or relevant industry experience.
- Minimum 2+ years of project coordination/project management experience in ATM deployment or related industry/projects.
- Ability to work independently and as part of a team.
- Excellent time management and organizational skills.
- Ability to adapt to changing environments and shifting timelines.
- Great attention to detail with strong analytical skills.
- Strong interpersonal skills.
- Ability to work in a fast‑paced environment; can quickly respond and prioritize multiple demands.
- Ability to build and influence schedules to meet critical criteria and contract-bound timelines.
- Solid experience using Microsoft Office Suite (Excel, Outlook, Teams, Word, PowerPoint) and familiarity with tools such as QuickBase, EPM, ServiceNow.
- Strong listening skills with the ability to give clear and unambiguous instructions.
- Excellent verbal and written communication skills necessary for effective coordination with team members and managers.
- Strong customer relationship and organizational skills.
- Proven track record of successful project delivery.
- Strong sense of urgency and integrity.
