What We Seek...
We are looking for a motivated, detail-driven individual to support the success of projects within Britten's Events and Special Projects team. The Project Coordinator is the administrative and clerical backbone of the project management team, setting up jobs correctly across all platforms, tracking materials and lead times, booking freight and installation, and coordinating with internal partners so Lead PMs can stay focused on execution and the client. Phenomenal organization, communication, and follow-through will keep every detail on track through each stage of planning and production.
Job Summary and Job Functions
- Set up new jobs correctly across all platforms: Schedule, Work Order List, Salesforce, and project Teams chat
- Attend job handoff meetings to gain a full understanding of each project
- Review materials with the Lead PM and Purchasing; monitor material lead times via the purchasing team and ensure known issues are communicated to the Lead PM for solutions and client communication
- Verify Salesforce job setup and line breakouts completed by the sales team accurately reflect the scope as handed off; flag any discrepancies to the Lead PM and sales for resolution before work proceeds
- Book freight on behalf of the Lead PM per project needs
- Communicate and book installation needs as defined by the Lead PM
- Coordinate with internal partners, including the metal fab and print divisions, to communicate project needs and handle related clerical follow-through
- Support load-out execution per the pack plan defined by the Lead PM and Operations by documenting the plan, communicating it to the load-out team, and organizing materials through color coding, load maps, and similar tools.
- Works with a sense of urgency to meet short deadlines without compromising quality.

Requirements
- Experience and fluency in software platforms such as Microsoft Office and Google Workspace; Excel fluency is strongly preferred
- Strong administrative and clerical coordination skills with the ability to track multiple projects and deadlines simultaneously
- Exhibits strong organizational skills, attention to detail, and adherence to department standards and processes
- Ability to make decisions in a timely manner while keeping up in a fast-paced, multi-tasking environment
- Effective verbal and written communication and listening skills; communicates respectfully and maintains a high level of respect with internal teams and partners
- Demonstrates effective teamwork, conflict resolution skills, and relationship building
