Overview
As the Recruiting Coordinator for Prime Controls, you will support hiring efforts for our teams across the U.S. You are central to an excellent candidate experience — owning interview scheduling end to end and providing the organizational backbone that keeps our recruiting function moving. A Typical Day at Prime Controls
- Own interview scheduling across a wide range of roles, coordinating calendars between candidates, recruiters, and hiring managers — including cancellations, reschedules, and last-minute changes
- Build itineraries and prep materials for onsite interviews and manage day-of logistics
- Capture and route interview feedback so recruiters and hiring managers can move quickly on decisions
- Maintain accurate candidate and requisition data in iCIMS
- Generate recurring staffing reports — weekly interview activity, open requisition status, and pipeline and funnel metrics — for recruiting leadership and hiring managers, plus ad hoc reporting as requested
- Coordinate a clean handoff from offer acceptance to onboarding, including background check and pre-employment screening follow-through
- Support career fair and campus recruiting logistics: scheduling, event registration, material orders, and shipping
- Handle the administrative setup and ongoing management of contract workers, including onboarding paperwork, system records, start and end dates, and coordination with staffing vendors
- Assist with travel and expense support, presentation prep, and recruitment social media posts
- Handle candidate and employee information with strict confidentiality and support EEO/OFCCP recordkeeping requirements
What You Will Bring
The Basics
- 3 years in a professional office environment
- 1 year supporting recruitment or HR
- 1 year working in an applicant tracking system
- Intermediate Microsoft Office skills, including Outlook calendar management, PowerPoint, and Excel (sorting, filtering, pivot tables, and basic formulas for reporting)
- Ability to pull, clean, and format data into clear, accurate reports
- Strong problem solving and time management skills with meticulous attention to detail
- Strong written and verbal communication skills, with the ability to exercise tact and discretion
- Ability to prioritize competing administrative demands and exercise independent judgment and initiative
The Preferred
- 2 years supporting recruitment
- Experience with iCIMS or a comparable enterprise ATS
- Experience building recruiting or HR reports from ATS data
- Experience coordinating campus recruiting or high-volume hiring events
- Bachelor's degree in a related field
