The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

The MAG Manager of Financial Services is responsible for all aspects of MAG’s Financial Planning, Forecasting and Analysis functions. Oversees and manages the annual budget process, developing, designing and coordinating quarterly, annual and ad hoc financial reporting, variance analysis, preparing presentation materials, monitoring, reporting and oversight of gifts and endowments Utilizing the support of the Accountant 2. to meet specific management needs; coordinating data collection for reporting to University officials and supporting Senior administration with Strategic Planning. The functional title at the MAG is Director of Finance will be responsible for analyzing performance and risk and retaining a constant awareness of the division’s financial position through timely monthly reports and reviews for both internal and GAAP reporting with the University. Cross training is essential and cost effective for a company the size of the MAG.

Accountable for ensuring the financial integrity of the general ledger; including operating, capital, specific purpose and reserve accounts. Responsible for implementation and monitoring of internal audit procedures. Supervisor of Accountant II & Bookkeeper. Develop and execute goals and cross training for the MAG Finance, Grants, Revenue Generating areas and the HR Administrator.

Financial liaison between the Directors’ Office, and other operational departments within MAG, as well as the University Central offices including, but not limited to Budget Office, Audit, Central Advancement and other financial administrators in other areas within the University.

Provide overall support to the Director & COO/Deputy Director for all financial initiatives, special projects, evaluate risks and make recommendations for the MAG. Serve as a singular point of contact for best financial practices with a focus on crucial organizational objectives.

Responsible for the development and implementation of financial plans with measurable fiscal
results in support of the MAG strategic plan. Simplifying and streamlining all functions of the department being a priority. Attentive to revenue generating and cost saving initiatives.

Supports MAG Leadership regarding Gallery policies and goals; makes recommendations and responsible for implementation for policies related to financials.

ESSENTIAL FUNCTIONS

  • Review and oversee quarterly/monthly forecasting of annual results and financial statements. Utilize GAAP reporting and maintain required matrixes for existing projects and ongoing grant funding opportunities.
  • Manage the development and oversight of unique & complex budgets, operating plans and revenue development models for MAG including the best utilization of a $ annual endowment support.
  • Collaborate with Senior Staff, Administrative Department Heads and Senior Administration regarding MAG’s financial planning.
  • Coordinate and provide financial analysis to departments during the capital and operating budget development process while providing comprehensive financial narrative and supporting schedules.
  • Create strategies for long-term strategic objectives, monitor results of these initiatives.
  • Monitor and report spending against budget; prepare variance analyses; trend analysis; amortization schedules; funding models and ongoing analysis
  • Monthly reporting to COO, Deputy Director & MAG Director.
  • Direct and manage financial reporting associated with special projects at the MAG: including renovation, grant and expansion projects utilizing knowledge of the University’s data warehouse; design and produce ad hoc data Workday queries for various constituents for financial analysis.
  • Serve as the Company Costing Manager & Analyst in Workday. Approvals above certain thresholds will be sent to COO in Workday.   Design and implement spreadsheet and database systems to meet specific management needs.
  • Ensure the financial integrity of the Memorial Art Gallery Financial Statements. Prepare and report monthly SOA and GAAP reporting to the University.
  • Work closely Senior Administration to gather information that will impact MAG’s financials, financial view can be in-year/next-year impact or strategic 3-5-year outlook.
  • Advise and make recommendations to the Director, COO/Deputy Director and Senior Administration regarding financial and strategic matters.
  • Develop complex financial analysis, ad hoc reporting, complex problem solving, and research solutions to questions or problems, streamline operating processes, create capital asset amortization schedules and provide financial recommendations to administration.
  • Utilizing knowledge of the University’s Workday data warehouse; Design and produce ad hoc data Workday queries for various constituents for financial analysis.
  • Design and implement spreadsheet and database systems to meet specific management needs.
  • Provide financial oversight, monitoring and reporting for MAG’s gifts and endowments.
  • Ensure spending is in alignment with MAG’s guidelines and in compliance with University policy.
  • Develop and implement reporting and tracking processes and procedures.
  • Provide advice and counsel on financial matters.
  • Audit department processes and procedures.
  • Develop working knowledge of each department to provide relevant guidance.
  • Develop program for training and coaching to drive successful budgeting habits at department levels and within MAG Finance.
  • Strive for a collaborative working relationship between MAG’s Departments.
  • Establish and maintain high work ethics and buy in for all employees impacted by financial decisions. Maintain up to date business practices and non for-profit changes to laws and regulations.
  • Supervise two staff- the Accountant 2 and the Bookkeeper positions in the MAG Finance Dept.   
  • Establish performance expectations, adherence to strict deadlines and ensure effective workflow.  Due to the size of the MAG, Cross training is essential for all critical financial functions and reporting.
  • Support and advocate all aspects of Diversity, Equity and Inclusion.

MINIMUM EDUCATION & EXPERIENCE

  • Bachelor's degree in finance, accounting or business administration MBA and 5 years of relevant experience required
  • 10 or more years’ experience in financial accounting management preferred
  • Or equivalent combination of education and experience


KNOWLEDGE, SKILLS AND ABILITIES

  • Strong Excel financial modeling, planning, analysis, organizational, and leadership skills required
  • Strong interpersonal, communication, and written skills required
  • Knowledge of institutional and funding agencies policies and procedures (financial, purchasing, accounts payable, payroll, human resources, and sponsored research programs) required
  • Desire University experience utilizing Workday Financial System, AXIOM Budget System, Fundriver, COGNOS, Grants & Endowments. MBA and/or CPA desirable but, not required.
  • Proven ability to build and maintain effective working relationships with all levels of the organization preferred.
  • Must have a proven record of taking initiative and being proactive preferred.
  • Broad understanding of financial and policy implications within a university setting preferred.
  • Must be able to set priorities and manage competing demands preferred. 
  • Should be highly motivated and exhibit innovation, good judgment and reliability in the work place preferred.  


LICENSES AND CERTIFICATIONS

  • Certified Public Accountant (CPA) upon hire preferred
  • UR CLASP certification upon hire preferred
