Position Summary
Reporting to the Payroll & Benefits Administrator, the Payroll & Benefits Coordinator is responsible for supporting the accuracy, efficiency, and timely completion of all U.S. payroll and benefits processes. This role requires strong attention to detail, the ability to manage multiple priorities, and the highest level of discretion when handling sensitive employee, payroll, and benefits information.
The Payroll & Benefits Coordinator will work closely with employees, managers, Finance, Accounting, the People Team, and external benefit providers to resolve discrepancies, maintain accurate records, and provide responsive support.

Key Responsibilities
Payroll Administration
- Process accurate and timely payroll for all hourly and salaried employees while adhering to established pay schedules, company policies, and applicable federal, state, and local tax regulations.
- Review payroll information for accuracy, including regular hours, overtime, paid time off, shift differentials, bonuses, commissions, deductions, and other payroll-related items.
- Address payroll and tax-reporting issues and work with the appropriate internal or external resources to resolve discrepancies.
- Calculate and process payroll adjustments, including compensation changes, retroactive payments, bonuses, commissions, reimbursements, and other supplemental payments.
- Support the execution of annual bonus and incentive payouts.
- Review employee timekeeping records and work with employees and managers to resolve missed punches, incorrect entries, approval delays, and other discrepancies.
- Process employee payroll changes, including new hires, transfers, promotions, terminations, tax elections, direct-deposit changes, and other employee updates.
- Collaborate with Finance, Accounting, and the People Team to reconcile payroll and benefits data and resolve discrepancies.
- Support payroll reconciliations, audits, quarterly reporting, year-end processing, and the preparation and distribution of Forms W-2.
- Oversee and monitor the employee overtime process and related policies, when applicable.
- Maintain 401(k) retirement plan information, including employee contribution changes, census preparation, reconciliation, reporting, and audit support.
- Assist with wage garnishments, child-support orders, tax levies, and other legally required payroll deductions.
- Maintain accurate and confidential payroll records in accordance with company policies and record-retention requirements.
- Serve as a primary point of contact for employee payroll and timekeeping inquiries.
- Identify opportunities to improve payroll accuracy, efficiency, controls, documentation, and the overall employee experience.
Administration Benefits
- Administer and process all U.S. benefits and retirement programs, including medical, dental, vision, FSA/HSA, life insurance, short- and long-term disability, leaves of absence, 401(k), and COBRA.
- Manage benefit enrollments, qualifying life-event changes, dependent updates, coverage changes, and terminations while ensuring employees have access to relevant plan information and resources.
- Review benefit elections, payroll deductions, eligibility records, and carrier information for accuracy.
- Support the administration of applicable leave programs, including FMLA, disability, military, personal, and state-required leaves.
- Assist with annual open enrollment, including system preparation, employee communications, enrollment support, election reviews, and communication of plan changes.
- Serve as a point of contact for employee benefit inquiries and escalate complex issues to the appropriate provider or internal partner.
- Coordinate COBRA-related information and qualifying events with the appropriate external administrator.
- Reconcile benefit deductions and support the review of carrier invoices to identify and resolve discrepancies.
- Assist with benefit and retirement plan audits, required reporting, census preparation, and compliance-related activities.
- Maintain accurate and confidential employee benefit records.
- Support payroll and benefits administration through Dayforce, including employee data updates, payroll processing, reporting, benefit elections, and system audits.
- Identify opportunities to improve benefit administration, employee communication, process documentation, and service delivery.
Payroll and Benefits
- Maintain accurate payroll, benefits, and employee information in Dayforce.
- Conduct routine audits to ensure employee information is consistent across payroll, benefits, timekeeping, and HR records.
- Prepare payroll and benefits reports for Human Resources, Finance, Accounting, leadership, auditors, and external providers.
- Maintain standard operating procedures, process documents, calendars, checklists, and internal controls related to payroll and benefits.
- Provide backup support for payroll, benefits, and other People Team responsibilities as needed.
- Perform other related duties and special projects assigned.
Qualifications
- Bachelor's degree in finance, Accounting, Business Administration, Human Resources, or a related field. An equivalent combination of education and relevant experience may be considered.
- Minimum of five years of experience processing payroll and administering employee benefit programs.
- Experience processing payroll for hourly and salaried employees across multiple states, including Texas, Utah, New Jersey, Colorado, Washington, and other applicable locations.
- Working knowledge of payroll practices, payroll taxes, wage-and-hour requirements, benefit deductions, retirement plans, COBRA, and leave administration.
- Proficiency in Microsoft Office.
- Experience using Ceridian Dayforce for payroll, timekeeping, benefits, and employee record administration is highly preferred.
- Excellent communication, organizational, analytical, and time-management skills.
- Strong attention to detail with the ability to review information, identify discrepancies, and ensure accuracy.
- Ability to manage competing priorities and meet payroll, benefit, and reporting deadlines.
- Ability to handle sensitive and confidential employee information with discretion.
- Strong customer-service skills and the ability to explain payroll and benefit information clearly and professionally.
- Ability to work collaboratively in a fast-paced, multi-site environment.
- Experience in a manufacturing or industrial environment is preferred.
