Receptionist-JLL
What this job involves:
As the first point of contact for visitors and clients at our TikTok office location, you'll create a positive impression that reflects JLL's commitment to excellence and hospitality. This role is essential in ensuring smooth daily operations while providing exceptional customer service in a dynamic workplace services environment. You'll manage front desk operations with professionalism and warmth, handling everything from visitor management to administrative support with precision and care. We support each other's wellbeing and champion inclusivity and belonging across teams, and as our receptionist, you'll embody these values by creating an environment where everyone who enters feels welcomed and valued. Your organizational skills, attention to detail, and ability to multitask will be crucial as you coordinate various clerical duties and serve as a vital communication liaison between staff, clients, and visitors.
What your day-to-day will look like:
• Greet visitors, clients, and vendors in a friendly and professional manner, ensuring a positive experience and providing assistance as needed while monitoring visitor access and security protocols
• Answer incoming calls and respond to emails promptly and effectively, transferring calls to the appropriate individual or department and taking accurate messages when necessary
• Manage meeting room bookings, schedule appointments, and maintain shared calendars for the office to support seamless collaboration
• Provide administrative assistance including data entry, filing, photocopying, and organizing documents and files with attention to detail and accuracy
• Receive, sort, and distribute incoming mail, packages, and deliveries, and prepare outgoing mail and packages for shipment using appropriate methods
• Coordinate with Workplace management teams to manage the ticketing system, badge management, and office supply orders
• Assist with coordinating office events, meetings, and conferences, including organizing catering, room setup, and audiovisual equipment to facilitate productive gatherings
Required qualifications:
• High school diploma or equivalent
• 2-3 years of experience as a receptionist or in a similar customer-facing role, preferably within a professional or fast-paced workplace environment
• Excellent verbal and written communication skills with the ability to interact professionally with individuals at all levels
• Proficient computer skills including MS Office Suite (Word, Excel, Outlook) and knowledge of office equipment such as printers and scanners
• Highly organized and detail-oriented with the ability to multitask and prioritize tasks effectively in high-pressure situations
• Ability to handle sensitive and confidential information with discretion and professionalism
• This role requires regular physical activity including standing for extended periods, moving throughout the office space, and lifting and carrying packages, supplies, and materials weighing up to 25 pounds
Preferred qualifications:
• Previous experience in a fast-paced tech environment
• Experience with Lark or similar workplace collaboration platforms
• Certification or additional coursework in administration or a related field
Schedule: Monday - Friday 9am-6pm
Location: San Jose, CA

Estimated compensation for this position:
45,800.00 – 56,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
