Corporate Workflow and Records Coordinator

Remote | Occasional travel to Sandy, Utah | Full-time

$25.00–$28.00 per hour

Great hospice care depends on details being handled with care. In this role, you’ll make sure important patient paperwork moves smoothly across multiple agencies—from approved hospice election addendums, to delivery, signature follow-up, documentation, and filing in the medical record.


You’ll be the person who notices what’s missing, knows what needs to happen next, and keeps the right people informed. If you enjoy bringing order to busy workflows and seeing an open item all the way through to completion, this could be a great fit.


This role will provide: 

  • Meaningful work: Your coordination helps support patients, families, care teams, and compliant medical records.
  • Visible ownership: You’ll manage an important process—not just complete isolated tasks.
  • Remote flexibility: Work from home during regular business hours with a private, professional workspace.
  • Collaborative partners: Work with Clinical Directors, operations, compliance, coding, agency leadership, and the ADR and Medical Review team.
  • A clear non-clinical focus: Your strength is organization and follow-through, not clinical decision-making.

The day-to-day:

  • Coordinate the hospice election addendum process across our agencies.
  • Prepare approved addendums using designated systems and plain-language templates.
  • Track delivery, signatures, deadlines, exceptions, and medical-record filing.
  • Follow up on pending items and escalate missing, conflicting, delayed, or overdue information.
  • Maintain accurate workflow trackers, spreadsheets, reports, and electronic records.
  • Support chart assembly and ADR tracking and follow-up, as assigned.
  • Share recurring issues and process concerns with leadership.
  • Protect patient information in accordance with HIPAA, privacy, security, and records-management requirements.

A role with clear boundaries.

This is a non-clinical coordination role. You will work with approved information and keep the process moving. You will not determine clinical relatedness or coverage status, override a Clinical Director’s decision, or create a clinical rationale.

Requirements

 We’re looking for someone who:

  • Is organized, dependable, detail-focused, and great at follow-through.
  • Can manage multiple deadlines across departments and locations.
  • Communicates clearly and professionally—and knows when to escalate.
  • Is comfortable working independently in a remote environment.
  • Can use Microsoft Excel or similar tracking tools.
  • Notices when information is missing or inconsistent before it becomes a larger problem.
  • Has a high school diploma or equivalent.
  • Brings experience in healthcare administration, hospice, home health, medical records, compliance support, or centralized operations.
  • Has experience with MatrixCare, Link, EMR/EHR, or document-management systems—or can learn new systems quickly.
