Accountabilities
Functions and Responsibilities:
- Provides high-level administrative, strategic, and operational support to ensure the smooth functioning of the Chairman’s office.
- Provides operational support to the other members of the Board.
- Overall support on all administrative tasks of the Chairman as well as related management team. Answer and filter calls and requests from external providers and partners with professional attitude and closely monitoring them.
- Write general correspondence (letters, notes, emails, etc.) following internal and external communication rules.
- Closely collaborate with the Executive Assistant of the Chairman to ensure that briefings, documents and any external or internal communication is shared in time.
- Reception and attention of clients, visitors, partners and employees following the corresponding protocol and social etiquette standards.
- Organization of trips and meetings and documentation related to them, in particular all relevant logistics in relation to IAG Board and Committees meetings.
- Coordinate the maintenance of the computer equipment and office supplies, while also ensuring that the office is always in a representative state.
- Management of travel expenses, purchase orders and invoices and carry out the corresponding administrative procedures in relation to the relevant budgets.
- Supervision and conditioning of Management meeting rooms on a daily basis according to the meeting calendar.
- Coordination and support to all events requested by Iberia or IAG to be held in El Caserio. Monitoring the personal flight programme of IAG non-executive directors (including former board members) and reporting to IAG payroll.
- Coordinating the logistics of the non-executive directors' employee engagement programme, and any non-executive director induction programmes as required.
- Additionally, it will provide support in the following areas:
- Administrative support to the Company Secretary.
- Support in managing relationships with Spanish shareholders, primarily handling calls and emails, as well as tasks related to the General Shareholders’ Meeting.
