Senior Program Specialist
Purpose of the Job
The Senior Program Specialist plays a key role in coordinating high-priority projects and initiatives, supporting monitoring & evaluation processes, and producing analytical insights for the Not Alone Program (NAP). This role ensures consistency and quality in program delivery, coordinates the preparation of the annual program report, and supports the design and improvement of program tools and materials. As an experienced resource, the Sr. Program Specialist provides technical guidance to Program Specialists, supports training and capacity-building efforts, and assists the Sr. Program Manager with documentation, analysis, and process improvement to enhance overall program effectiveness.
Essential Functions and Responsibilities
Program Oversight and Coordination
- Coordinate and facilitate major projects and events, including volunteer rep conferences, field campaigns, and graduate follow-ups.
- Collaborate with Area Program Managers to ensure consistency in execution across all regions.
- Track work plans, flag potential risks or delays, and report issues to the Sr. Program Manager.
- Compile and maintain detailed timelines for cross-regional initiatives and projects.
- Coordinate and advance new and existing initiatives under NAP's umbrella, including developing concept notes, establishing work plans, engaging stakeholders, and managing implementation and related M&E tasks.
- Provide the Sr. Program Manager with input and insights on program vision and development, informed by field data, program outcomes, and lessons learned.
Monitoring, Evaluation, and Reporting
- Review and validate field reports to ensure program indicators are met.
- Support the application of M&E tools and analyze trends for reporting and improvement.
- Flag reporting gaps and suggest corrective actions to enhance program learning.
- Document lessons learned and contribute to institutional knowledge-sharing.
- Update and maintain dashboards for tracking program statistics.
- Support the preparation of annual, monthly, and quarterly reports by collecting and analyzing data, and contributing to their structure, writing, and review.
Field Support and Technical Assistance
- Provide guidance and clarification to field staff on program implementation tools and standards.
- Troubleshoot field-level challenges and ensure appropriate escalation when needed.
- Perform onboarding and conduct NAP orientation sessions for new field staff, other employees, and fellows.
- Facilitate ongoing communication between field teams and internal departments for effective coordination.
- Offer guidance and share expertise with Program Specialists to enhance their technical and operational skills.
Training and Capacity Building
- Design and deliver training content in collaboration with the Sr. Program Manager.
- Serve as a knowledgeable resource to Program Specialists, sharing expertise and practical insights to strengthen their technical and operational skills.
Required Education, Experience, Knowledge, and Skills
- Bachelor's degree in Social Sciences, Development Studies, or a related field.
- 3–5 years of progressive experience in program coordination, NGO operations, or project oversight.
- Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint), as well as Outlook, Teams, and SharePoint.
- Strong knowledge of program monitoring, evaluation, and reporting methodologies.
- Hands-on experience in organizing and delivering training, workshops, and events.
- Proficient in both written and spoken English.
- Demonstrated ability to lead initiatives and support cross-functional teams.
- Strong communication skills, with the ability to effectively engage with internal teams, external partners, and vendors.
- Excellent organizational skills; detail-oriented with strong follow-up and the ability to coordinate multiple tasks efficiently.
- Experience working with or supporting the Coptic community is an asset.
Travel and Working Requirements
- Typical Office environment: walking, sitting, typing, using office equipment, and occasional lifting of boxes or luggage during travel.
- Travel throughout Egypt may reach as much as 30% of the time.
- Working outside official hours and on weekends may be required.
