The Office of CEO responsibilities span multiple functions of the organization, namely operations such as HR, culture & belonging, finance, legal, and accounting. Naturally these process benefit the entire team, external partners, and customers by removing pain-points, supporting in their work, and delighting and inspiring.What will you be doing?Executive Assistant to CEOCEO Prioritization - work with Chief of Staff to prioritize CEO Action Item list and support CEO by assisting in completion of higher priority items and independently completing lower priority itemsCommunication + Follow-through Support - send follow-up messages, reminders, and complete tasks as requested by CEO in regards to communicating with customers, potential clients, or team members.Calendar Management - weekly + monthly calendar review with CEO + Chief of Staff, including monitoring and optimizing percentage of time spent on various activities and elements of the business. According to CEO and Chief of Staff priorities, re-arrange and prioritize schedule accordingly.Travel Booking and Arrangements - CEO will be consistently traveling on regular basis for next 3-5 years. This includes booking airfare, AirBnBs + hotels, sourcing and locating restaurants, dry cleaners, gift shops, etc. in all destinations. Also includes shipping baggage/equipment ahead of schedule to arrive at CEO lodgings, which may include speaking with hotels/lodging management to arrange logistics.Arrange Cold Contacts - communicate with guests for CEO’s Podcast and arrange bookings/meetings with those guests. Cold contacts could also be for other business relationships or leadership development purposes.Slide and Meeting Materials Preparation - prepare necessary materials for CEO so he can attend meetings prepared. This includes researching counter-parties and organizing meeting minutes. Meet with internal/external parties before they meet with CEO to gather necessary material to brief CEO effectively.Personal + Family Finance Management - review and support CEO personal spending (credit cards, expense accounts), organize reimbursements on monthly basis, support in filing annual taxes.CEO Personal Tasks - support personal/family-related tasks, such as birthday / anniversary card preparation, mailing letters/packages, ordering flowers, arranging dinner or event reservations, etc.Core Business Process SupportBuilding Playbooks - documenting the process, Creating Looms, etc.Arranging Payments to Vendors/contractors on weekly basis + communicating with them if any issues arise.Arranging interviews with candidates for future roles, including onboarding them onto BambooHR platform.QualificationsWhat we look forExperience:5 years experience in admin role, preferably at a start-upMust be tech savvy (knowledgeable of , Gmail, calendar etc.)Personality:‘Finisher’ more than a ‘starter’.
