Join Renton Technical College as an Executive Assistant for the Instruction Division! The Executive Assistant to the Vice President of Instruction will provide advanced executive, operational, and project coordination support that contributes to the effective leadership and administration of the division. Working with a high degree of independence, initiative, discretion, and professional judgment, this position coordinates and advances complex divisional activities and critical institutional processes, supports governance and other college priorities, and facilitates communication across the division and college. The incumbent ensures the timely and effective execution of instructional priorities through proactive problem-solving, exceptional organizational skills, independent decision-making, and consistent follow-through on matters of significance to the division and college.

The Executive Assistant position is a full-time and exempt role reporting to the Vice President of Instruction. The salary range for this position is $79,928.84 - $84,928.84 annually. The priority consideration date for applications is September 20, 2026. 

Renton Technical College, located southeast of Seattle, has provided quality education in a variety of occupations for over 75 years. Executive Support and Division Operations

  • Serve as the primary executive support partner to the Vice President for Instruction (VPI), coordinating and advancing divisional priorities; managing a complex and dynamic executive calendar; coordinating travel and related logistics; preparing correspondence, reports, presentations, and meeting materials; facilitating communication and information flow; and ensuring timely follow-through on key initiatives, commitments, and institutional priorities. 
  • Coordinate, schedule, and organize meetings. Secure and prepare meeting rooms, prepare agendas, and other materials as requested. Take minutes, transcribe, finalize, and distribute them. Make conference arrangements as needed.
  • Attend meetings with or as the representative of the VPI as needed/requested; provide information, follow-up, and report conclusions to staff, transmitting assignments and request status information. 

Governance and Institutional Process Coordination

  • Coordinate and support instructional governance and institutional processes, including the planning and administration of committees, councils, and workgroups. Prepare and distribute materials, maintain records and documentation, manage SharePoint sites and related communication tools, track actions and deliverables, and facilitate communication among stakeholders to ensure timely and effective execution of governance activities. 

Tenure Administration

  • Manage and coordinate the faculty tenure process, including maintaining tenure records and timelines; supporting Tenure Steering Committee activities; monitoring and reviewing Canvas tenure portfolios for completeness and compliance; facilitating communication among faculty, administrators, and committee members; and preparing reports and materials to support institutional and Board reporting requirements. 

Divisional Project and Performance Management

  • Coordinate and advance complex divisional activities, special projects, and strategic initiatives on behalf of the VPI. Track progress toward divisional, dean, and departmental annual and quarterly goals; monitor timelines and deliverables; identify issues requiring action; facilitate resolution of administrative and operational challenges; and ensure completion of assigned actions and commitments. 

Accreditation and Regulatory Support

  • Support the VPI in accreditation, program approval, articulation, and reporting responsibilities by coordinating materials, tracking deadlines, maintaining documentation, and facilitating communication with instructional leaders and relevant external agencies.  

Budget Administration and Fiscal Support

  • Assist the Vice President for Instruction in monitoring and managing instructional budgets by preparing regular budget reports, tracking expenditures and budget activity, reconciling transactions, monitoring purchasing and procurement processes, supporting budget planning activities, and identifying items requiring review or action. Provide oversight and coordination of division purchasing cards and related documentation to ensure compliance with college policies and procedures.

Executive Team and Office Operations Collaboration

  • Collaborate with members of the Executive Assistant team to ensure coordinated support of executive leadership, major college initiatives, institutional priorities, office staffing coverage, and college events. Serve as backup support for executive offices as assigned.  

Communication, Policy, and Process Support

  • Serve as a resource to faculty, staff, administrators, students, and external stakeholders regarding instructional processes, procedures, and college policies. Develop, maintain, and manage divisional communication resources and SharePoint sites; support the development, implementation, documentation, and continuous improvement of administrative processes and divisional practices. 

Administrative Records and Compliance

  • Maintain official divisional records, contracts, reports, and other documentation in accordance with college policies, records retention requirements, and applicable regulations. Coordinate contract routing, execution, and filing in collaboration with executive office staff. 
  • Perform other duties as assigned.
  • Experience working with persons from diverse backgrounds such as sexual orientation, racial, ethnic, religious, linguistic, gender, age, socio-economic, physical and learning abilities, and a commitment to an inclusive and equitable working / learning environment. 
  • Associate degree and three to five years of progressively responsible executive, administrative, project coordination, operational support, or related experience, preferably supporting senior leadership; or an equivalent combination of education and experience. Prior experience providing support in higher education administration, governance support, accreditation processes, or public-sector environments is preferred.
  • Exceptional organizational skills with demonstrated ability to coordinate and advance multiple complex projects, initiatives, governance activities, and institutional processes simultaneously while managing competing priorities, deadlines, and stakeholder expectations. 
  • Demonstrated ability to establish, maintain, and improve complex tracking systems, records, timelines, and reporting processes while ensuring accuracy, compliance, and timely completion of assigned responsibilities. 
  • Ability to maintain highly confidential and sensitive information while exercising sound judgment, discretion, professionalism, and independent decision-making. 
  • Demonstrated critical thinking, proactive problem-solving, and the ability to anticipate needs, identify issues, recommend solutions, and ensure effective follow-through on matters of significance to the division and college. 
  • Ability to build collaborative working relationships and effectively coordinate with administrators, faculty, staff, governing bodies, students, and external stakeholders. 
  • Excellent written and verbal communication skills, including the ability to prepare professional correspondence, reports, presentations, meeting materials, and communications for a variety of audiences. 
  • Demonstrated ability to monitor budgets, track expenditures, reconcile financial information, prepare budget reports, and maintain accurate fiscal records; or the ability to quickly learn college budgeting systems, financial processes, purchasing procedures, and reporting requirements. 
  • Advanced proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Demonstrated ability to promote universal design and accessibility. Proficiency in (or ability to learn within 6 month of hire) the production of accessible content, whether print or electronic.
  • Ability to represent the college in a positive and professional manner, while using tact, discretion and courtesy.
  • Ability to speak a regionally top spoken language other than English is preferred (Spanish, Vietnamese, Russian, Somali, and Chinese).

WORKING CONDITIONS:
Working hours are generally aligned to business hours, Monday – Friday. Occasional evening and weekend work is required. Work is mostly sedentary in nature, performed in an office environment. Frequent use of a computer and exposure to terminal screens is required. Work and meetings may take place across campus. May drive/travel to trainings, conferences, and/or college events. This is mostly an in-person/on-campus position; remote work may occur as business permits.
