Description
Veteran-founded, Series A deep tech startup building AI-powered spatial intelligence products for defense and enterprise is looking for an Executive Assistant to support the CEO, with light support to two co-founders. This is an exciting opportunity to be the founders’ first EA and a true force-multiplier to a CEO who loves to coach, with a seat in the room for critical conversations and room to grow into special projects and operations over time. In this role, you’ll own the CEO’s calendar and inbox triage, coordinate travel for the founders, attend meetings and drive follow-up on action items, support recruiting coordination during a major hiring push, and run the day-to-day of the San Francisco office. Someone who is proactive, confident with a point of view, thrives in chaos, and is excited by the pace of a high-growth startup. This is a hybrid role, 3 days/week, based in San Francisco near Union Square, with additional in-office days when the CEO is on site. 150-170K DOE + equity, excellent medical/dental/vision coverage, 401K, and generous PTO.
Responsibilities:
- Own and protect the CEO’s calendar: resolving conflicts, managing inbound meeting requests from investors, customers, and industry contacts, and proactively reprioritizing to keep him focused on what matters most.
- Triage, prioritize, flag, and organize the CEO’s inbox, growing over time into drafting first versions of responses.
- Coordinate domestic travel and logistics for the three co-founders.
- Attend the CEO’s meetings, capture key takeaways, and drive action items to completion.
- Support recruiting coordination during a major hiring push, including scheduling interviews across internal stakeholders, managing candidate communications, and following up for feedback, in partnership with the People Operations team.
- Manage the day-to-day of the San Francisco office, including equipment and supplies, vendors and cleaning, food and team lunches, and office events.
- Support the COO with special projects and travel as needed.
- Over time, help prepare presentations and slide decks, getting a strong first draft in front of the CEO.
- Take on ad hoc projects with a do-whatever-it-takes mindset.
- 3+ years of experience supporting a founder, CEO, or C-suite executive at a high-growth startup.
- Experience in deep tech, robotics, AI, or defense is a strong plus.
- Experience as an executive’s first EA, with the ability to help a new principal learn how to best partner with an assistant, is a plus.
- Expert calendar management skills with the judgment to gatekeep time, read priorities, and make scheduling calls without being asked.
- Exceptional organizational skills and attention to detail.
- Proactive and high ownership, with an instinct to anticipate needs rather than wait for direction.
- Thrives in fast-moving, ambiguous environments and embraces shifting priorities with enthusiasm.
- Thoughtful and intentional, with the confidence to share a point of view and back recommendations with clear reasoning.
- Direct, honest, and accountable, with excellent written and verbal communication skills.
- Ambitious and eager to grow, while taking pride in excelling in the EA role.
- Responsive outside standard hours when needed, such as during travel disruptions or high-priority moments.
- Proficient with Notion, Google Workspace, Slack, and AI notetakers; strong AI fluency and an interest in using AI to work smarter.
