As a Business Support Partner EMEA, you will play a key role in coordinating Healthcare Professional (HCP) training activities across the EMEA region, ensuring smooth execution of training programs, travel arrangements, contract administration, invoicing and operational reporting.

You will work closely with internal stakeholders and external partners in a dynamic, international environment, taking ownership of your activities while ensuring compliance with internal policies, procedures and applicable regulatory requirements.

Your Responsibilities will include:

  • Coordinate end-to-end HCP training activities across the EMEA region, including scheduling, managing training requests, HCP availability and ensuring the timely progression of physicians through training programs.
  • Manage HCP engagement activities and related documentation in compliance with internal policies and regulatory requirements, using the Engage platform for planning, approvals, document management and reporting.
  • Organize travel arrangements and logistics for HCP training sessions, working closely with travel agencies, external partners and internal stakeholders to ensure seamless execution.
  • Support HCP contract administration, including preparing and managing contracts, monitoring contract validity, tracking contracted days and identifying potential discrepancies.

  • Support budget monitoring, expense tracking, monthly and quarterly financial reviews, forecasting and accrual preparation in collaboration with Finance teams.
  • Collaborate cross-functionally with Medical Education, Marketing, Finance, Compliance, Procurement, IT and Country Business Support teams to ensure efficient and compliant operations.
  • Identify opportunities to streamline processes, improve data accuracy and enhance operational efficiency through standardization, digital tools and automation.
  • Contribute to knowledge sharing, best practices and effective backup support within the wider EMEA Business Support team.

What are we looking for in you?

  • Experience in a similar Business Support, Operations, Coordination or Medical Education role, preferably within the MedTech, Pharma or Healthcare industry.
  • Experience in coordinating training activities, travel arrangements, logistics and related administrative processes.
  • Fluency in English, both written and spoken; knowledge of additional EMEA languages is an advantage.
  • Strong proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint and Word); experience with SharePoint, CRM, event management or HCP engagement platforms (e.g., Engage) is an advantage.
  • Excellent organizational, prioritization and time management skills, with strong attention to detail and accuracy.
  • Ability to build and maintain effective relationships with cross-functional teams, senior stakeholders, external partners and customers.
  • Strong communication and interpersonal skills, with a professional and customer-focused approach.
  • A process-oriented mindset with a continuous improvement approach and the ability to identify opportunities for optimization and automation.
  • Strong analytical and problem-solving skills, with the ability to work independently, take initiative and manage competing priorities.
  • A collaborative and flexible approach, with a willingness to support colleagues and share best practices.
  • Ability to work effectively in a fast-paced, dynamic and international environment.
  • A Bachelor's or Master's degree in Business Administration, Communication, Sales & Marketing, Accounting, Finance or a related field, or equivalent relevant professional experience.

We offer:

  • The opportunity to work for Boston Scientific Poland, certified as a Great Place to Work®, reflecting our commitment to an inclusive, collaborative and high-performing workplace.
