Business Support Partner EMEA
About the role
Primary focus is delivering a high level of service and superior customer satisfaction to EMEA Sales & Marketing teams. Acts as the main business partner for planning, providing the logistics, coordination and administrative support to, internal and external, meetings, events and business operations. Works with autonomy, with general instructions given on new assignments, always in compliance with internal policies, guidelines and procedures.
This role is based in Warsaw.
Your Responsibilities will include:
- Act as the key contact for EMEA Sales & Marketing teams, key stakeholders, external customers, preferred vendors, and conference organizers when needed. Provide guidance, answer questions on established policies and procedures, and direct stakeholders to the appropriate resources.
- Lead the end-to-end coordination of international meetings, training programs, and events based on detailed business requirements, ensuring timely communication and proactive collaboration with all stakeholders throughout the planning and execution process.
- Manage HCP engagement activities and associated documentation in full compliance with applicable internal policies and regulatory requirements. Use the Engage platform to support event planning, approval workflows, document management and reporting
- Collaborate cross-functionally with Marketing, Finance, Compliance, Procurement, and Country Business Support teams to ensure compliant and efficient execution of meetings and events.
- Manage the end-to-end purchasing process, including Purchase Requisitions (PRs), Purchase Orders (POs), vendor onboarding, and invoice processing.
- Coordinate with Compliance and Finance teams to ensure accurate and timely invoice approvals and payments.
- Support operational expense (OPEX) tracking and budget monitoring in partnership with FP&A and business stakeholders.
- Identify opportunities to improve business processes by leveraging digital tools, automation, and continuous improvement methodologies.
- Partner closely with the EMEA Business Support team to promote knowledge sharing, standardization of best practices, cross-functional collaboration, and effective backup support across the team.
- Provide on-site operational support for major EMEA events when business travel is required
What are we looking for in you?
- Experience in a similar Business Support, Events, Administrative, or Coordination role, preferably within the MedTech, Pharma, or Healthcare industry.
- Fluency in English, both written and spoken.
- Proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint, and Word); experience with digital collaboration and event management tools (e.g., Engage) is an advantage.
- Experience in planning, coordinating, and supporting meetings, events, and training activities.
- Excellent organizational, prioritization, and time management skills, with strong attention to detail and accuracy.
- Ability to build and maintain effective working relationships with cross-functional teams and external stakeholders.
- A process-oriented mindset with a continuous improvement approach and the ability to identify opportunities for optimization.
- Strong problem-solving skills, with the ability to work independently and proactively manage competing priorities.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Ability to work effectively in a fast-paced, dynamic, and international environment.
