Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support a fast-paced federal agency office in Washington, DC. This role requires exceptional attention to detail, strong critical thinking skills, and a customer-focused mindset. The successful candidate will serve as a key member of the support team, managing high-volume communications and ensuring timely, accurate responses to internal and external stakeholders.
This position is fully onsite and requires the ability to thrive in a dynamic environment with competing priorities and significant daily email traffic.
Key Responsibilities
- Monitor and manage three high-volume email inboxes, processing and routing thousands of emails daily.
- Review incoming correspondence for accuracy, completeness, and appropriate action.
- Prioritize, categorize, and distribute email communications to the appropriate personnel and departments.
- Provide exceptional customer service to internal and external stakeholders.
- Conduct research and gather information to support inquiries and requests.
- Track requests, deadlines, and action items to ensure timely resolution.
- Prepare, update, and maintain reports, spreadsheets, and administrative records.
- Utilize Microsoft Excel to organize, analyze, and manage data.
- Support office operations by maintaining documentation, filing systems, and administrative procedures.
- Exercise sound judgment and critical thinking when handling sensitive or complex issues.
- Identify process improvements to increase efficiency and effectiveness.
Required Qualifications
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Experience in an administrative or office support or related role.
- Demonstrated ability to manage multiple priorities in a high-volume environment.
- Strong attention to detail with a focus on accuracy and quality.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Excel, Outlook, Word, and other Microsoft Office applications.
- Strong organizational and time-management skills.
- Proven ability to think critically, solve problems, and make sound decisions.
- Exceptional customer service and interpersonal skills.
- Ability to work independently while contributing effectively as part of a team.
Preferred Qualifications
- Experience supporting a federal agency, government office, or regulated environment.
- Experience managing shared inboxes or high-volume correspondence.
- Familiarity with records management and administrative tracking systems.
