Key Responsibilities
IT Asset & Inventory Management
Maintain a complete and accurate record of all IT hardware and software assets (laptops, desktops, peripherals, network devices, licenses) across the company.
Update asset records within 24 hours of any change — assignment, replacement, return, repair, or disposal.
Tag, track, and manage the full lifecycle of assets from procurement to decommissioning/disposal.
Maintain software license records and monitor compliance (renewals, expirations, seat usage).
Periodic Audits
Conduct scheduled physical and system audits of IT hardware and software inventory to verify records match actual deployment.
Identify and report discrepancies, missing assets, or non-compliant software installations.
Support internal/external IT audits and compliance reviews with accurate asset documentation.
Procurement & Purchasing
Manage the end-to-end procurement process for IT hardware, software, and accessories — from requisition to vendor quotation, purchase order, and delivery tracking.
Liaise with vendors and suppliers to obtain quotations, negotiate pricing, and ensure timely delivery.
Maintain vendor records and support renewal/replacement decisions based on cost and asset condition.
Track purchase budgets and maintain records of invoices and purchase orders.
Helpdesk Support
Assist the IT helpdesk team with ticket resolution during peak load or as required, covering basic hardware, software, and access issues.
Support joiner/mover/leaver hardware provisioning and de-provisioning (issuing, configuring, and retrieving devices).
Coordinate with the helpdesk team on ticket updates related to asset issues (replacements, repairs, upgrades).
Documentation & Reporting
Maintain up-to-date documentation of asset inventory, procurement records, and audit findings.
Prepare periodic reports on asset status, audit results, and procurement activity for management review.
Support the wider NSS team with governance and asset-related data as needed.
Required Qualifications & Experience
Bachelor’s degree in IT, Computer Science, Business, or a related field.
1–3 years of experience in IT asset management, inventory control, procurement, or IT helpdesk support.
Practical experience maintaining hardware/software inventory records and conducting audits.
Experience handling vendor coordination, quotations, and purchase order processes.
Working knowledge of basic IT support (hardware troubleshooting, OS/software issues, user account basics) to assist the helpdesk team when needed.
Strong organizational skills and attention to detail; comfortable working with spreadsheets/asset management tools.
Familiarity with ticketing systems and asset management software is a plus.
