Community: [Community Name]

Location: [City, State]

Employment Type: Full-Time

Schedule: [Schedule/Shift]

Help Lead the Business Operations Behind an Exceptional Senior Living Experience.

We’re looking for an organized, proactive, and service-minded Business Office Manager to oversee key financial, payroll, HR administrative, and business office functions at [Community Name].

This is an important operational role that works closely with the Executive Director and community leadership team while also serving as a trusted resource for residents, families, employees, vendors, and corporate partners.

If you’re comfortable balancing numbers, people, deadlines, and competing priorities - and you take pride in keeping the business side of an operation running smoothly - we’d love to meet you.

About the Opportunity

The Business Office Manager plays a critical role in the financial and operational success of the community.

Partnering closely with the Executive Director, department leaders, corporate accounting, Human Resources, and operational support teams, you’ll help ensure business office processes are accurate, organized, timely, and aligned with company standards.

You’ll oversee responsibilities including resident billing, collections, payroll administration, accounts payable, employee records, onboarding support, financial documentation, and daily office operations while maintaining a welcoming, professional, and resident-focused environment.

This role is ideal for someone who enjoys being at the center of an operation and can move confidently between financial responsibilities, employee support, resident and family communication, and day-to-day problem solving.

What You’ll Own

Financial & Business Office Operations

  • Coordinate resident billing, collections, accounts payable, deposits, and general business office functions
  • Maintain accurate resident census changes, including move-ins, move-outs, transfers, and level-of-care updates
  • Process deposits and maintain complete supporting documentation
  • Reconcile vendor accounts and assist with resolving account discrepancies
  • Maintain accurate resident, vendor, financial, and operational records
  • Support budget reviews, reporting processes, and other financial documentation
  • Partner with corporate accounting to ensure accurate and timely financial processes
  • Professionally assist residents and families with billing questions, account balances, and collections conversations

Payroll & Employee Administration

  • Review employee timecards for accuracy and support payroll administration
  • Maintain organized and confidential employee and personnel records
  • Support new-hire paperwork, onboarding, benefits documentation, and employee administrative processes
  • Partner with Human Resources and community leadership on employee documentation and business-office needs
  • Support recruiting coordination and interview scheduling as needed
  • Help ensure required employee records and documentation remain current and complete

Community Operations & Resident Support

  • Serve as a trusted administrative partner to the Executive Director and department leaders
  • Assist residents, families, employees, vendors, and visitors with questions and administrative needs
  • Provide front-office coverage and support when needed
  • Assist with community tours, resident interactions, and special events as appropriate
  • Maintain office supplies and ensure the business office is organized and operationally ready
  • Communicate effectively across departments to help keep community priorities moving
  • Maintain confidentiality and professionalism when handling sensitive resident, employee, and business information
  • Participate in the Manager on Duty rotation and support community operations or urgent needs as assigned

What Success Looks Like

  • Resident billing, payroll, accounts payable, and administrative processes are completed accurately and on time
  • Financial records, reconciliations, employee files, and supporting documentation are organized and current
  • Residents and families receive clear, professional, and responsive support
  • Employee onboarding and payroll processes run smoothly
  • Business office deadlines are consistently met
  • Community and corporate partners receive accurate information and strong follow-through
  • The Executive Director can rely on you as a trusted operational partner
  • The business office contributes positively to both the resident and employee experience

Who This Role Is For

We’re looking for someone who can balance financial accuracy, operational organization, and people-focused service.

You may be a strong fit if:

  • You’re highly organized and naturally keep track of details and deadlines
  • You’re comfortable working with numbers, financial records, payroll, and business systems
  • You can handle confidential information with professionalism and discretion
  • You communicate confidently with residents, families, employees, vendors, and leadership
  • You remain composed when priorities shift or interruptions occur
  • You take ownership and follow issues through to resolution
  • You enjoy being the person others can rely on to keep things organized and moving

Qualifications

  • Bachelor’s degree in Business, Management, Accounting, Finance, Human Resources, or a related field required
  • Minimum 2 years of experience in payroll, bookkeeping, office management, accounting support, or business office operations required
  • Experience with OneSite / RealPage required
  • Senior living, healthcare, multifamily, hospitality, or another resident/customer-focused industry preferred
  • Experience with payroll processing, accounts payable, billing, collections, reconciliations, and administrative coordination strongly preferred
  • Strong verbal and written communication skills
  • Strong computer proficiency and comfort working across multiple business systems
  • Strong organizational, multitasking, and problem-solving skills
  • High level of accuracy and attention to detail
  • Ability to maintain confidentiality and exercise professional judgment
  • Ability to work effectively in a fast-paced, onsite environment

Community-Specific Requirements

  • [Senior living experience required/preferred]
  • [Manager on Duty rotation required]
  • [Weekend availability required]
  • [Additional software experience required/preferred]
  • [Other community-specific requirement]

What Sets You Apart

  • You take ownership of the details without losing sight of the bigger picture
  • You’re equally comfortable reviewing a resident account and helping a family understand a billing question
  • You catch discrepancies before they become larger problems
  • You communicate clearly and professionally, even during difficult conversations
  • You maintain a hospitality-focused mindset while managing financial and operational priorities
  • You’re proactive, dependable, and solutions-oriented
  • You understand that strong business operations directly support a strong resident experience

Why This Role

The Business Office Manager has visibility into nearly every part of community operations.

You’ll work closely with leadership while gaining exposure to finance, payroll, Human Resources, resident services, staffing, compliance, and overall community operations.

Your work helps create the operational foundation that allows community leaders and frontline teams to focus on delivering an exceptional resident experience.

For someone interested in continued growth within senior living operations or community leadership, this role also provides valuable exposure to how the entire business works.
