The Opportunity

We are looking for an Operations Administrative Assistant with proficiency in German to support our executive team. This role is crucial for ensuring efficiency and coordination in daily operations and strategic projects.  

 

 
What you will be doing: 

  • Acts as a point of contact between the Partner and assigned internal clients, and other colleagues and clients (as applicable); 

  • Manage calendars, schedule meetings, and coordinate travel arrangements, organize events; 

  • Provides administrative support regarding the drafting of official documents, trips, presentations, campaigns, statements, time attendance, etc. for the Partner and the internal customers to whom it is assigned; 

  • Provide support in analyzing data, create dashboards and generate reports using Microsoft Excel; 

  • Provide support in create and updating internal and client presentations using Microsoft PowerPoint; 

  • Organize meetings and keep meeting minutes if necessary; 

  • Coordinate cross-functional communications and follow-ups for the portfolio assigned; 

  • Demonstrates a detailed understanding of assigned tasks and assumes responsibility for their completion; 

  • Makes decisions regarding the priority of issues and/or associated risks while working at the client's office or premises; 

  • Knows and applies internal policies and procedures related to risk management in documentation and communication; 

  • Respects the agreed deadlines.   

  • Constantly communicates progress in the context of the project to the team leader and demonstrates discernment by identifying when he needs assistance. 

What we need from you: 

  • Minimum 2-3 years of work experience in a similar position; 

  • Basic skills in Excel and PowerPoint (intermediate level is nice to have); 

  • Very good command of English and German is a must; 

  • Ability to communicate clearly and professionally with stakeholders at all levels; 

  • A high level of reliability, sense of responsibility, attention to details and professionalism; 

  • Ability to analyze data and present insights clearly and concisely; 

  • Communicative, team worker, client-oriented attitude; 

  • Act as a trusted partner to the team, contributing to a positive and productive work environment.
