The Executive Assistant provides high-level administrative and operational support to owners, executive leadership and the property management team. This position serves as a key administrative resource, coordinating communications, schedules, documentation, property-management activities, employee-related administrative tasks, and special projects.
The ideal candidate is highly organized, professional, detail-oriented, proactive, and able to manage multiple priorities while maintaining confidentiality. Property management, real estate, accounting, or office management experience is preferred.
Position Summary:
- Manage calendars, communications, reports, and confidential information. Travel & Event Coordination: Arrange travel and company events.
- Project Management: Track projects and deadlines.
- Meeting Administration: Prepare agendas, record notes, and manage follow-up.
- Financial Support: Process expenses and invoices.
- Relationship Management: Serve as a professional point of contact between ownership and leadership and select vendors.
- Provide administrative support between the owner and the executive team and property managers.
- Manage calendars, meetings, appointments, and deadlines.
- Prepare correspondence, reports, spreadsheets, presentations, and other business documents.
- Organize and maintain electronic and physical files.
- Prepare meeting agendas, notes, and follow-up items.
- Monitor deadlines and follow up on outstanding items.
- Handle confidential and sensitive company and employee information appropriately.
- Assist with special projects and assignments as directed by ownership.
- Assist wit day to day operational support and purchases
- Maintain contact list for vendors, properties, staff etc
- Assist and maintain monthly reports and documentation
- Serve as a professional point of contact for owners, and other business contacts.
- Answer and direct telephone calls and correspondence.
- Respond to routine inquiries and escalate issues to the appropriate manager.
- Maintain professional and timely communication with internal and external contacts.
- Represent the company professionally in all communications.
Qualifications:
- 2–5 years of administrative, executive assistant, property management, real estate, or office management experience preferred.
- Property management experience is strongly preferred.
- Strong knowledge of Microsoft Office, particularly Outlook, Word, and Excel.
- Experience with property management software or similar systems is preferred.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to prioritize multiple projects and deadlines.
- Strong attention to detail and accuracy.
- Ability to work independently and exercise good judgment.
- Ability to maintain confidentiality.
